DUTIES AND RESPONSIBILITIES

  • Understand, communicate, and enforce Company Safety, Quality and Accountability Program (PASS).
  • Participate in Team meetings and safety meetings by providing input for safety concerns and promoting a safe work environment.
  • Perform data entry to update reports, such as daily labor allocation. Discrepancies in time reporting are referred to supervision to ensure calculations and records for job costs for labor and employee pay are accurate.
  • Perform general office tasks, filing, copying, sorting of records as needed or delegate to Administrative Clerk I to assist in performance of the task.
  • Review timesheets for accuracy in reporting time per phase and job, ensuring meal periods, per diem pay and other related pay items are accurately noted.
  • Enter time for hours worked from field time sheets in employer timekeeping system or, track, referring non routine issues and discrepancies to supervisor.
  • Enter billing information from time sheets into database and/or client portals on a weekly basis meeting both clients can company reporting deadlines.
  • Provide temporary relief for reception duties, mail sorting, sending Fed Ex and shipments, etc.
  • Order office supplies and postage by determining needs or receiving requests for materials, gaining approvals, ordering, and storing items.
  • Review invoices for project materials and assign items to clients for billing, processing bills, and sending invoices.
  • Process applicants and new hires by accurately performing applicant intake, verifying applicant certifications, testing, scoring of applicants, and ensure employee signatures are on policy documents.
  • Accurately enter New Hires or Rehires in company database.
  • Support the safety department in coordinating the implementation of random drug testing, craft skills and training updates and maintaining accurate records of authorized driver records. Refer non routine employment concerns to Human Resources and Supervisor.
  • Process Accounts Payable and/or Billing by following purchase order review, approval, and posting procedures.
  • Support managers and staff with administrative functions and all other duties as assigned by manager.

REQUIREMENTS

  • Ability to communicate clearly with all levels of employees and management.
  • Ability to identify discrepancies in simple reports and gather missing or incorrect information from others to accurately complete the task.
  • Proficient in Microsoft Office applications: Word, Excel.
  • Must be able to perform simple data entry and accurately update data in spreadsheets.
  • Must be organized and able to consistently meet deadlines.
  • Must be able to sort and file documents in a logical and organized fashion.
  • Must be able to administer and score simple written multiple-choice tests.
  • Must be able to read and comprehend simple time sheets and billing invoices.
  • Must be able to maintain confidentiality of protected employee and client information.
  • 2 years administrative experience in one of the following: time keeping, payroll, maintaining employee files, processing new hires, accounts receivable or accounts payable.
  • Experience in 2 or more administrative support areas, such as project controls; Accounting, Human Resources, or Dispatch within the company.
  • Experience working in a company performing Industrial Construction, Maintenance, or Equipment.
