JOB TITLE: Scheduling Coordinator
JOB TYPE: Full-time (80 hours per pay period)

JOB PURPOSE: The Scheduling Coordinator performs a variety of tasks. They are the first point of contact between our office and patients via telephone. They schedule all medical patient appointments in a professional, accurate, and courteous manner. They monitor physicians’ scheduling templates as necessary to maximize efficiency. This position is considered a crucial link between the patient and the care delivered by our clinical staff. They must exhibit flexibility and a “can-do” attitude. They must be able to maintain professionalism and common courtesy. It is essential for them to exemplify our core values and exercise the utmost discretion, diplomacy, and tact with patient/staff interactions.

Responsibilities

  • Professional and welcoming demeanor when speaking with all patients
  • Schedule all appointments with the appropriate physician
  • Familiarity and knowledge of all providers’ templates and scheduling specifics
  • Cancels and reschedules appointments as necessary; conducts follow-up on no-shows
  • Inform all essential staff of cancellations & no-shows plus completing all required documentation
  • Monitor the physicians’ daily schedules
  • Conduct daily review of schedule status for the remainder of the week and the following two weeks
  • Utilize cancellation list to fill scheduling gaps
  • Verifies insurance information is in the EHR correctly, active, and in-network
  • Obtains referrals and assists patient with continuity of care when needed
  • Verifies patient demographic information in EHR is correct and current
  • Performs day-to-day administrative functions and general office duties including but not limited to: answering phones, scheduling appointments, copying, faxing, and collecting payments
  • Provides information to all callers according to Policies and Procedures
  • Transfers/triages calls as needed
  • Ensures adequate phone coverage from 8:00am-5:00pm
  • Inform patients of any existing balance and collect payment at the time of scheduling
  • Exercises problem-solving and conflict resolution skills when dealing with patients
  • Ensures the patient feels welcome to the practice
  • Empathetic with patients’ needs and concerns
  • Assists in general office duties and other duties as required

Qualifications

  • Experience: Must have experience in a setting utilizing excellent service standards and maintaining high customer/patient satisfaction.
  • Education: High school diploma or GED
  • Physical requirements: Able to sit, stand, and move around for long hours at a time. Able to lift up to 25 pounds.
  • Language proficiency: excellent verbal and communication skills.
  • Manages own workload effectively while being flexible to new demands.
  • Excellent customer service with a patient focus.
  • Must be able to pass background check.
  • Reliable transportation.
