Wiss, Janney, Elstner Associates, Inc. (WJE) is looking for an experienced administrative professional to support our Denver team located in Lakewood, CO. The Senior Administrative Associate will be responsible for managing activities to ensure high levels of quality and productivity.

Essential Job Functions:

Project Operations:

  • Cultivates business development opportunities and activities to help continue to grow our client base.
  • Creates Statements of Qualifications in response to Requests for Proposals (RFPs) and Qualifications (RFQs).
  • Assists with the creation of complex documents utilizing multiple software programs and digital images.
  • Assists Project Managers with a working knowledge of specific functions of the Deltek Vision database as needed.
  • Coordinates and assists in the preparation of technical reports and presentation materials.
  • Coordinates and maintains incoming and outgoing project-related correspondence and documentation.
  • Writes/creates project profiles.

Administrative:

  • Provides advanced word processing using in-house templates; uses knowledge of styles and other Microsoft Word tools to create complex documents.
  • Provides advanced spreadsheet and presentation slides using in-house templates and knowledge of Microsoft Office software.
  • Prepares first drafts, edits, proofreads, and assembles outgoing correspondence and documents.
  • Answers incoming calls and e-mails and directs client inquiries appropriately.
  • Coordinates internal staff meetings, webinars, lunch presentations, conference calls, and office outings/activities alongside the Unit Manager and staff.
  • Organizes and archives electronic and hard copy project files and drawings.
  • Independently manages office-related projects.
  • Monitors timesheet/expense report submittals of Unit staff as needed.

Finance and Accounting

  • Assists project managers with project controls (milestones, budget tracking, accounting, billing, etc.).
  • Applies working knowledge of accounts receivable, accounts payable, purchasing, and office services functions.

Requirements:

  • Bachelor’s degree (English, communication, marketing, business, or similar a plus) or six years to eight years of prior administrative work experience.
  • Business development/marketing-related experience.
  • Construction industry-related experience preferred.
  • Experience using photo editing, pdf viewing/editing, and Deltek Vision software preferred.
  • Curiosity to learn new computer software as needed for projects (for example, AutoCAD, database software, etc.).
  • Ability to multi-task and prioritize.
  • Ability to adapt to changing priorities and project deadlines.

Physical Requirements:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires visual acuity and listening ability along with the ability to read and write. Individuals must have the dexterity to be able to operate office equipment such as computers, printers, copiers, telephones, voice mail systems, and other office equipment. The position mainly involves working at a desk and requires the ability to remain for extended periods at a workstation. Local travel.
