Summary
The Financial Aid department at Barry University seeks a full time Senior Associate Director of Financial Aid.
The Senior Associate Director of Financial Aid will provide support and leadership for the Office of Financial Aid with emphasis on compliance with institutional, federal and state financial aid regulations. Lead the office in policy and procedure development, fund management and inter-departmental relations. The Senior Associate Director is responsible for return of fund calculations and satisfactory academic progress. The Senior Associate Director is also responsible for supervising and training financial aid staff to ensure accurate and consistent information dissemination to students, families, external agencies and other university offices. In the absence of the Director, performs the financial aid duties of the Director.
Essential Functions
Plans and directs the day-to-day activities of the Associate/Assistant Directors and processing staff.
  • Acts as a knowledge source to the financial aid staff.
  • Train’s counselors and staff on new regulations, policies and procedures.
  • Uses professional training and skills to identify and solve processing exceptions on a daily basis.
  • Reads and interprets financial aid regulations, determining how changes impact the operations of the financial aid office.
  • Attends professional development opportunities such as regional and national financial aid conferences, and local workshops for continuing education on financial aid rules and regulations.
  • Participates in the selection and hiring of new financial aid staff members.
Conduct appropriate research and analysis of Financial Aid policy issues and be fully informed as to federal and state regulation so that same is imparted accurately to staff.
  • Develop policy and procedures for financial aid.
  • Incorporate documentation within the financial aid policy and procedures manual.
  • Ensure that all office policies and awarding practices are within the institutional, federal and state regulatory requirements and guidelines.
Oversees the new aid year process including planning, communications and policy changes in Colleague and Campuslogic.
  • Collaborates with various departments to continually improve processes and services.
  • Participates in the scholarship awarding process.
  • Generates ad-hoc queries and reports to ensure quality control. Maintains the content of financial aid publications, the catalog and website.
Counsel’s students regarding financial aid and student account policies.
  • Awards and packages financial aid to students in accordance with regulations and guidelines.
  • Ensures that financial aid applications and loan processing meets departmental quality standards and deadlines.
  • Oversee caseloads and assist financial aid staff and counselors as needed. Counsel students and families as needed and act as the initial contact for situations escalated for supervisory review.
  • Monitors staff/student caseloads and accuracy of awards.
  • Reviews methods to track and monitor awards, removal of awards for non-attendance and overall consistency between financial aid staff.
  • Conducts performance evaluations of financial aid staff.
Manage, monitor and process Return of Title IV Refunds required for students who withdraw or are suspended from the university per U.S. Department of Education requirements
  • Provide information and guidance to campus schools regarding general information concerning Return of Title IV funds and how it impacts students.
  • Receive paper student withdrawal forms and process according to federal regulations within time allowed.
  • Work with schools, faculty and Division of Finance to resolve any issues.
  • Oversee the unofficial withdrawal process to be in compliance with federal regulations.
Oversee all satisfactory academic progress related activities to ensure compliance with federal and state rules and regulations.
  • Complete SAP evaluation in Colleague at the end of every term.
  • Send student notifications
  • Maintain Colleague up to date to ensure SAP evaluations are in compliance with federal guidelines.
Qualifications/Requirements
  • A Bachelor's degree in any field is required. A Master's degree is preferred.
  • 5-8 years of experience.
  • Demonstrated knowledge of federal and state financial aid programs, regulations, policies and procedures.
  • Must have the ability to manage and prioritize tasks, meet deadlines and oversee major projects from development to implementation.
  • Must be able to analyze complex processing flows to find solutions with skills in researching regulatory information and resolving complex financial questions.
    Advanced experience in computing complex mathematical formulas.
  • Strong written and oral communication skills, including the ability to communicate successfully with a diverse student body and work force;
  • Must be able to interpret and explain regulatory information related to the financial aid process.
