Work closely with the Strategic Meeting Management (SMM) team to provide attendee management support which includes program mailbox monitoring, change management, and building and preparing Cvent based conference communications for both small- and large-scale conferences and providing travel and hospitality-based customer support to conference attendees.

This role is responsible for the administration of a complex registration websites which includes basic to moderate administrative changes or updates on the back end of the system. Partner and communicate with leaders and core conference teams to provide improvement recommendations for registration sites.

Responsibilities
  • Support the team through the various stages of the conference enrollment registration platform (Cvent), which includes building registration sites, providing in-depth knowledge of the platform, and lead/resolve troubleshooting issues. In partnership with the registration coordinator will take the lead role in deploying invitations, mobile apps and manage correspondence with conference attendees to ensure well managed travel and participation at company conferences. Partner with the conference planners to implement plans for new programs and initiatives to provided enhancements to event process. Serve as the lead resource for advisors and employees in resolving issues with the registration platform by providing coaching and technical support.
  • Assist the conference planner in executing conferences/meetings ranging in size from 25-500 attendees by monitoring and creating all reporting needs and requests for hotels/convention centers, caterers, and destination management companies. Liaise with hotels regarding all necessary requirements for accommodations and special requests needed for the event and ensure all requests are handled appropriately.
  • In partnership with the communications team, build and prepare Cvent based conference communications needed for the event. Responsible for administering mobile app push notifications needed during the event, as well as well as provide recommendations to the planning team regarding the mobile app use based on event feedback captured. Work within the registration technology platform to manage thresholds for arrival/departure parameters, room blocks, and room block changes to create final event reporting needs for the business. Provide input and guidance to the core planning team, senior leaders, and other business partners regarding the registration site platform utilization for their specific business needs.
  • Manages the final report reconciliation prior to uploading the Actual reports to the team's SharePoint site for review by Accounting Team and other business partners. Responsible for completing, validating, and reconciling the post program financial reporting for all bills reviews on behalf of conference planners, vendors, and accounting. This includes compiling and creating final conference reports for assigned conferences to ensure accuracy and completeness. May need to contact vendors or conference planners to resolve and follow-up on any reporting errors.
  • May travel to conferences and assist with on-site logistics such as rooming lists, air travel changes, and creating real-time reports as needed by the conference planner team.


Required Qualifications
  • Associates degree or equivalent required
  • 3-5 years relevant experience required
  • Knowledge of Cvent
  • Knowledge of mobile app development and deployment
  • Experience with data entry
  • Experience with administration of mobile app on-site
  • Proficiency in Microsoft Suite (Excel, Word)
  • Ability to handle multiple planned and unplanned project tasks, roles and responsibilities.
  • Verbal and written communication skills
  • Strong organizational skills and attention to detail

Preferred Qualifications
  • Experience within the hospitality industry
  • Experience with event planning in a corporate environment
