POSITION TITLE: Senior Program Coordinator, Mentoring Program

STATUS: Non-Exempt, Full-time

STANDARD HOURS: 8:00 a.m. to 5:00 p.m., Monday – Friday, some evenings and travel required

LOCATION: Hybrid

SALARY: $44,000 - $48,000

REPORTS TO: Manager, Mentoring Program

ASSIGNED TO: Scholarships and Financial Aid Department


Position Summary:

The Mentoring Program Senior Coordinator helps coordinate, manage, and evaluate events and activities related to the Mentoring Program, an e-mentoring program that also incorporates events throughout the academic year. The Senior Coordinator will oversee cohort-specific programming, direct the work of AmeriCorps members, and manage key aspects of the program, in addition to completing additional program-related tasks as needed.


Essential Functions:


  • Facilitate high-impact relationships between mentors and mentees. Support Mentoring Program Coordinators in assisting pairs to build strong relationships through individualized attention, regular communication, support, and advice. Maintain awareness and attend to elevated issues arising between pairs by providing immediate follow-up appropriate to the situation. Recommend strategies to Coordinators that will improve pair relationships. Conduct all outreach to mentors and students at risk of exiting the program.


  • Identify, develop, and execute program improvements and opportunities
    to better support students and contribute to the success of the program. Lead the development of academic year-specific programming, outreach campaigns, and resources for cohorts under your area of responsibility. Support Coordinators in implementing these programs, campaigns, etc.


  • Oversee and manage work of AmeriCorps member.
    Provide training for and delegate duties to an AmeriCorps member, monitor the member’s activities in supporting pairs, and facilitate their professional development meetings and progress.


  • Oversee either mentor or student onboarding,
    including:
    • For mentor onboarding, managing schedules for phone interviews and orientations, managing background check applications, and conducting outreach to new and returning mentors on needed steps. Coordinates with Program Assistant to accomplish tasks.
    • For student onboarding, managing orientation schedules, adding students to the proper cohort, processing paperwork and recording relevant data, ensure students are being properly matched, and conducting outreach to selected/eligible students on outstanding enrollment steps.


  • Monitor students (re-)entering or exiting the program in a cohort under your area of responsibility.
    Properly use data sources to track students and ensure they are receiving communication about program steps in a timely fashion. Oversee matching of students with appropriate mentors as soon as they are eligible. Ensure students leaving the program receive correct information, are moved into the correct cohort / deactivated as needed on Chronus, and are referred to the correct scholarship team as appropriate.


  • Create, edit, and update program materials, including mentoring curricula, surveys, policies and procedures, etc.


  • Oversee data and information for cohorts under your area of responsibility. Actively manage data in Chronus, CollegePath, and on PowerBI dashboards, to note and record changes and actionable information as it happens. Ensure mentors and students in your cohorts are properly tagged and marked in Chronus by Coordinators. Provide information on pairs in your area of responsibility as requested.


  • Coordinate cohort-specific events, in conjunction with Coordinators, and assist with program-wide events as needed.


  • Represent the Mentoring Program internally and externally, as needed, including in cross-department committees, community initiatives, and professional organizations.

Qualifications:

Experience in college retention or mentoring strongly emphasized. Bachelor’s degree required. Experience in a higher education environment related to admission, scholarship administration, financial aid, or a background in college counseling or college access is strongly preferred. Strong interpersonal, oral and written communication skills, and leadership skills in working with colleagues and overseeing an AmeriCorps member. Strong organizational and analytical skills showing the ability to manage multiple responsibilities. Must have provided leadership and meaningful contributions to the work of a team in a previous role, either via project management, development of new systems, cross-department collaboration, or a combination of these. Working knowledge of Microsoft Office Suite required.
