Provide high-level administrative support by conducting research, preparing statistical reports, and handling information requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, event planning, and scheduling meetings. Maintain department website and manage main databases, Handshake and PeopleGrove. Maintain and monitor department budget, using Oracle, and serve as a liaison to vendors. Administer Susan Hirsch Schwartz Fund, funding for career-related expenses for students with financial need. May also train and supervise student employees.

Primary Job Responsibilities:

  • Maintain day-to-day office operations including managing the front desk reception area, examining and answering correspondence, processing and prioritizing office communications, answering telephone and e-mail, scheduling appointments, and managing purchasing of items large and small
  • Work closely with the Executive Director to maintain and monitor the budget, with direct responsibility to order, record and verify expenditures, including preparing purchase orders, check requests, and end-of-month credit card audits; maintain files, records, receipts, and other office documents
  • Manage main database, Handshake, including ensuring the accuracy of student accounts by uploading latest student records from the Registrar’s office, approving employers and jobs, posting internships and jobs, and setting up on-campus interviews
  • Gather and compile data through Handshake to produce specialized reports and documents
  • Maintain department website including update existing content, create new content, evaluate monthly website analytics report, and coordinate design with the Office of Communications
  • Assist with supervision and training of front desk student staff
  • Oversee the administration of the Susan Hirsch Schwartz Award Fund
  • Assist with on-campus interviews and information sessions
  • Maintain schedules, calendars, and appointments, including organizing meetings and events (preparing agendas, minutes, equipment, catering, rooms, information packets, and follow-up activities)
  • Perform complex computer functions including word processing, data collection, analysis of information, and creating visual and graphic presentations
  • Other related duties as assigned

Education: High school diploma (college degree preferred)

Required Competencies:

  • Minimum of four years administrative experience
  • Exceptional skills in Microsoft Excel, database management, website maintenance
  • Ability to communicate effectively, verbally and in writing
  • Advanced organizational skills with high attention to detail
  • Ability to prioritize, organize, and perform multiple work assignments simultaneously

Preferred Qualifications:

  • Experience and interest in higher education
  • Experience supervising student staff
  • Bachelor’s Degree
  • Event management

Pay Range: Commensurate with experience
