Summary

The SSS III provides entry-level administrative support and clerical duties within their respective department. This position requires basic organization, computer and typing skills.

A criminal background check is required.


Essential Duties

  • Direct the public (over the phone or in person) to the correct person or department.
  • Aid Assistant District Attorney with court preparation.
  • Work with District Justice staff to coordinate court schedules.
  • Prepare and schedule private criminal complaints for review.
  • Obtain medical records for victims from hospitals and doctors' offices.
  • Speak with citizens and police officers to answer questions regarding preliminary hearing procedures.
  • Make computer case changes in the court system.
  • Enter new case assignments into the court system.
  • Index preliminary hearing cassette tapes.
  • Check jury list against the court system for any activity that would require removing a person from the list.
  • Track all miscellaneous items that are left at the front desk.
  • Assist summary appeals clerk (e.g., send out subpoenas, make phone calls, etc.).
  • Perform other duties, tasks and special projects, as required.
Preliminary Hearing Clerk :
  • Preparing preliminary hearing case files
  • Preparing hearing lists
  • Archiving preliminary hearing recordings
  • Collecting necessary paperwork from all District Courts
  • Requesting medical records from treatment facilities
  • Tracking all private criminal complaints. This position also provides reception coverage when necessary.

Qualifications/Preferred Skills, Knowledge & Experience

Qualifications / Requirements:

  • High School Diploma or General Education Degree (GED).
  • Six months to one year of general office experience (typing, clerical, filing, copying, etc.).
  • Ability to maintain confidential information and handle confidential matters.
  • Basic spelling, grammar and math skills.
  • General computer knowledge.
  • Ability to prioritize and organize work.
  • Strong interpersonal skills.
  • Ability to interface with all levels of county management.
  • Basic typing / word processing skills (minimum of 40 wpm).
  • Ability to use office machines (fax, copier, calculator, etc.).

Preferred Skills, Knowledge & Experience:
  • One to two years of general office experience and skills.
  • Strong customer service skills.
  • Accurate and detail oriented.
  • Strong time management skills.
  • Basic accounting skills.
  • Strong verbal and written communication skills.
  • Ability to multi-task.
  • Familiar with reception desk functions.
  • Ability to deal with all types of people and personalities.
  • Familiar with county policies and procedures.
Preliminary Hearing Clerk Additional Requirements:
  • ?Excellent interpersonal and organizational skills
  • Must be computer proficient.
  • Previous experience in the legal field or a paralegal certification is a plus.
