We are hiring a Travel Coordinator to join our Finance Office!

The Travel Coordinator (FA2) position is the agency's lead travel consultant, back-up cashier as well as a critical member of the accounts receivable section handling reconciliations and interagency agreements. This position performs detailed fiscal work that requires familiarity with complex regulations. This position analyzes and interprets travel and accounts receivable requirements, policies, rules, and regulations adopted by OFM for travel and accounts receivable. In addition, the Travel Coordinator accurately prepares, reconciles, and approves payment for travel and accounts receivable submittals based on Generally Accepted Accounting Principles.

This position interprets requirements, explains complex information to travelers and supervisors of travelers in the agency and prepares training information for employees regarding the Travel Expense Management System (TEMS). This position monitors the agency's travel credit card program. Additionally, the incumbent serves as the primary back-up to the agency's lead cashier and performs year-end reconciliations and assists supervisor and management with travel, accounts receivable and financial risk audits.

Note : This position will be located at the NRB Headquarters building located in Olympia during the training period and may be eligible for a flexible/hybrid schedule after that time.

Duties

Some of what you'll do, include:


  • Interprets and explains travel rules, regulations, and WSDA travel policies to agency employees.
  • Develops training materials that explain complex requirements and conducts training seminars for internal employees.
  • Conducts a monthly travel audit agency wide.
  • Reviews and analyzes travel regulations and processes to recommend specific improvements to the agency travel policy.
  • Analyzes, interprets, and assigns appropriate expenditure codes to process paper and electronic travel vouchers, tuition reimbursement requests, travel advances and A-19-2A reimbursement requests. This includes ensuring all reimbursement requests are complete, correct, accurately coded and comply with current state travel regulations and agency travel policies.
  • Maintains and verifies Out-of-State Prior Authorization Requests comply with travel regulations.
  • Prepares and inputs warrant batches for payment to US Bank for airfare and Enterprise Rent-a-Car expenses.
  • Maintains and monitors electronic fund transfer authorizations, travel signature approvals, and make journal voucher corrections.
  • Oversees the Corporate charge cards used by agency employees to include issuing, monitoring, and canceling charge cards. Reviews and analyzes charge card accounts for delinquencies and compliance with travel policy.
  • Prepares WUSATA reconciliations.
  • Reconciles general ledger 1383 travel advances.
  • Processes cashiering suspense fund distribution and makes voucher corrections.
  • Oversees archiving of travel documents.
  • Monitors and issues report for litigation holds on fiscal records.
  • Reviews, analyzes, and reconciles general ledgers and program funds.
  • Analyzes revenue accrual reports and make JV adjustments.
  • Monitors the deferred revenue reports, determine adjustments needed and makes adjustments.
  • Reviews and monitors interagency contractual reimbursements.
  • Enters contract information into ECMS.
  • Provides programs with estimated contract balances each month and resolve discrepancies.

Qualifications

Who should apply?
Professionals with:


  • High School Diploma or GED.
  • Three (3) years of experience in payroll, accounting, bookkeeping, auditing, or other professionally based fiscal field.
  • Higher education which includes 18 quarter, or 12 semester hours of accounting, auditing, or budgeting may substitute year for year for experience.
Desired:
  • A Bachelor's or master's degree in a financial related field, certification as a Public Accountant, Internal Auditor, Certified Governmental Financial Manager or Management Accountant can be substituted for professional experience.
  • Experience interpreting federal, state, and/or agency travel policies and procedures.
  • Experience using the state Travel Expense Management System (TEMS).
  • Ability to research and formulate information in a clear concise manner, ability to work with individuals with diverse backgrounds, understands and performs governmental accounting transactions.
  • Dependable, responsible contributor with commitment to excellence and success.
  • Flexible team player who thrives in environment requiring ability to effectively prioritize and handle multiple concurrent projects.
