POSITION SUMMARY


The NAACP is currently seeking a traveling Executive Personal Assistant to the President and CEO of the NAACP. We are looking for a traveling executive personal assistant who can travel while on duty, both within the US and internationally.

Must have a valid passport or be willing to obtain one. The assistant would be available around the clock while on assignment. This position collaborates with other executive assistants and the Chief of Staff.

Must be discrete and have a “can do” attitude who is a competent multi-tasker possessing a drive to handle all aspects of the role with confidentiality, tact, and precision.

Assist in the management and organization of the CEO’s calendar by scheduling appointments, meetings, engagements, and daily activities, including running errands. Manage and coordinate travel for both business and personal arrangements. Spend time and become familiar with all aspects of business and residence.

Arranging transportation services to the President of the NAACP. Responsible for a wide range of administrative functions, including delivery and pick up of packages and supplies, assisting the Chief of Staff with coordinating the President's travel, and providing general administrative support to the Office of the President.

Primary duty includes the exercise of discretion and independent judgment with respect to matters of significance. Handles confidential information and communications. Full comprehension of the company's operation and procedures. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities.

They must also be able to juggle many tasks at one time. The ideal traveling Executive Personal Assistant will be an excellent communicator, energetic, highly motivated, organized, imaginative, and fluent in English.

RESPONSIBILITIES/DUTIES

  • Work closely with the Chief of Staff to provide high-level administrative support to the CEO and the executive internally & externally to key parties
  • Manage heavy and ever-changing calendars with back-to-back meetings
  • Expertly manage incoming requests via phone and email; respond to correspondence, inquiries, and invitations as required
  • Oversee deadlines for materials, communications, financials, and more
  • Coordinate meetings (scheduling, AV setup, teleconferencing, travel logistics, and catering)
  • Organize meeting materials, print documents, ad-hoc projects, and more
  • Manage travel; create detailed itineraries and arrange additional details if needed
  • Handle expenses and credit card reconciliation

QUALIFICATIONS

Education/Professional Experience

  • Bachelor’s degree required
  • 5+ years experience supporting a C-suite executive, preferably out of tech or finance
  • Must be tech-savvy, with strong knowledge of the Microsoft suite and CRM systems
  • Ability to establish priorities, maintain a variety of projects and activities simultaneously, and complete work in a thorough, accurate, and timely manner
  • Familiarity with the oversight and management of other administrative team members and an ability to maximize performance from all
  • Excellent phone etiquette and strong communication skills
  • Flexibility to travel frequently and must be comfortable with a 24/7 mindset
  • Strong attention to detail, demonstrating accuracy and consistency
  • Ability to adapt to an ever-changing work environment by managing competing demands; ability to deal with frequent change, delays, or unexpected events
  • Comfortable with intense work contexts and able to stay calm and focused in fast-paced environments
  • Discretion with confidential information is required
  • Possess a positive attitude and a strong work ethic; ability to be pro-active, resourceful, and solutions-oriented; highly reliable, responsible and responsive
  • Ability to learn quickly, and when mistakes are made, learn from them
  • Comfortable working independently and able to prioritize multiple tasks in a fast-paced environment with excellent follow through
