BILLING COORDINATOR
Under the Supervision of the Client Experience Manager, the Billing Coordinators are responsible for assisting the veterinary staff with the collection and application of patient payments related to services rendered or scheduled at CASE. The Billing Coordinators work collaboratively across several departments including but not limited to CERs, Specialty and Emergency Services and with external partners such as Care Credit, Trupanion, and other Pet Insurance organizations.
The focus of the team is to ensure that clients are aware of their financial obligations and the options available to them regarding payment for inpatient stays. The Billing Coordinator will assist with education on the application process related to financial assistance as well as other options within the CASE umbrella. The Billing Coordinators apply any approved funds to client accounts and educate on any outstanding balances due prior and during admission to the hospital.
The Billing Coordinators will demonstrate and live the organizational values of Compassion, Integrity, Collaboration, Excellence, Service and Positivity in carrying out day to day tasks as well as in interactions with all others.
- Collect estimate payments for patients being dropped off for services being rendered at the hospital.
- Communicate with clients related to any add-on payments after admission.
- Assist clients with financial aid application process and communication approval or denial.
- Assist clients with Care Credit applications and posting Care Credit payments that are submitted electronically.
- Collaborate with Trupanion regarding pre-approvals for services and post any Trupanion payments to Client Accounts.
- Final Arrangements:
o Communicate with clients to confirm final arrangements wishes and ensure that proper payment is collected and applied to the patient account.
o Respond to voicemails left on the final arrangements line and ensure that owners are communicated to in a timely manner.
- Respond timely to Admitting emails and voicemails from clients and veterinary staff.
- Collecting and applying other financial assistance funds.
- Time Management: practice excellent time management skills including appropriate understanding, planning, and organization, maximizing efficiency, and minimizing excessive use of supplies and personnel time.
- Complete administrative tasks such as filling out paperwork and filing records.
- Work independently with limited oversight.
- Multi-tasking: Able to work in an ever changing fast paced environment. Continuously able to prioritize and reassess.
- Customer Service: Provide the best possible service to our internal and external clients. Treats all in a courteous and respectful manner.
- Money Handling: Previous experience in money handling necessary.
- Basic math skills: Basic operations of addition, subtraction, multiplication, and division.
- Communication skills: Ability to get ideas across clearly, both written and spoken.
- Keeps other informed. Ability to have difficult conversations with others under stressful situations.
- Medical terminology and abbreviations: Basic working knowledge.
- Willingness to take on other duties as assigned.

Pay range for this position is $21.00-$24.00.
