Workplace Coordinator


Under the direction of the Workplace Partner, the Workplace Coordinator performs all tasks to present a welcoming, professional service for all staff, clients, and guests.

Key responsibilities of this role are:

  • Put the customer at the heart of everything we do and drive a customer first culture by investigating and reporting on customer satisfaction to flag issues
  • Answer and direct calls in a timely and professional manner
  • Act as receptionist and mailroom processer which will be prioritized based on business needs each day
  • Ensure that meeting spaces are fit for purpose for all visitors, internal and external.
  • Update and manage colleague head count using smart working seating using Realm
  • Act as the first point of contact; troubleshoot any issues with (lighting, heating, air conditioning, flooring) reporting any issues to building management for repair.
  • Stock supply rooms, pantries, conference rooms, reception area and wellness rooms.
  • Submit and track invoices through corporate expense system (Coupa)
  • Assist with new hire orientation including Security access door cards, building ID cards, temporary visitor cards and I-9 Verification
  • Provide mailroom and delivery services including overall management of mail services
  • Ensures that all deliveries are received, verified, and stored or delivered to the appropriate area or individual
  • Order, invoice, receive, store, and distribute supplies and deliveries as required and perform remote tasks for offices without Workplace presence.
  • Perform other duties, as assigned.
  • Provide guidance and seek input from others as needed to achieve the best result possible

We’re looking for someone who has these abilities and skills:

  • High school diploma or an equivalent combination of training and experience; Associate degree
  • Bilingual Spanish Speaking is a huge plus!
  • The ability to take direction and prioritize accordingly
  • Flexibility and friendly demeanor are essential qualities for an individual in this position
  • Excellent interpersonal skills
  • The ability to be adaptable, problem solve, and take initiative
  • A positive and collaborative attitude
  • Experience with Microsoft 365 products
  • The ability to lift up to a maximum of 40 pounds

The pay range for this position is $41,500- $56,500. Actual pay will be determined based upon the individual’s skills, experience and location. We strive for market alignment and internal equity with our colleagues’ pay.
