The Academic Specialist for the Department of Education provides high quality administrative support for the department chair, faculty and students, maintaining a variety of student records and managing daily office operations.

Responsibilities:

* Assist the chair in academic and classroom scheduling, granting course permissions, collecting and analyzing student and program academic data through Cardinal Station. Maintain Google calendar for chair(s), directors of undergraduate studies.

* Compile and analyze financial information on all purchasing related operations. Generate budget reports and complete requisitions through PeopleSoft Financials. Monitor spending. Reconcile university purchasing records with departmental purchasing records.

* Maintain confidential student records in accordance with university policies, and federal law. Compile internal and external data for all courses, e.g. course enrollment levels, uploading of course syllabi, archiving course evaluations. Assist in data management for student program status records including: ETS Title II reporting, Praxis Test Score data, and GPA for teacher licensure.

* Assist chair in processing contracts for adjuncts, lecturers, student workers; handle paperwork for other routine financial processes, such as travel reimbursements, honoraria, etc.

* Manage all office communications: respond to and/or route appropriately all incoming correspondence, including mail and e-mail, telephone, fax, and in-person queries from students and others. Manage and operate department email lists, social media applications, website content management.

* Act as liaison to other university departments and offices, as well as outside organizations.

* Assist chair in special projects, including but not limited to development initiatives, alumni communication, public affairs-related tasks, and special events.

* Hire, supervise, and coordinate payroll for student employees in the office.

* Manage procurement of supplies for office, and maintenance of office machinery. Coordinate with Facilities on maintenance issues.

Qualifications:

* Bachelor's Degree

* Minimum of three (3) years of administrative work experience, preferably in higher education.

* In lieu of three years, will consider applicants with at least two years of administrative work experience and at least one (1) year of relevant internship experience.
