This position is responsible for performing complex (journey-level) clerical and advanced duties applying accepted accounting and fiscal procedures to the preparation and maintenance of accounting records. Typically performs a combination of tasks but may specialize in one phase of work such as payroll, accounts receivable, accounts payable, etc. Performs work independently according to standard procedures. Responsible for supervision of office employees and participation in the maintenance of fiscal records for a large university department. Work may be performed independent of supervision. Reports to assigned supervisor.
Essential Job Functions
  • Work involves typing/input of various documents and correspondence.
  • Prepares and posts payrolls, special reports, receipts, vouchers, journal and ledger entries, log books, etc.
  • Assists supervisor with and/or prepares financial reports as required.
  • Maintains requisitions for purchasing inventory of equipment and supplies.
  • Maintains accounts for departmental budgets and records of budgetary controls.
  • Participates in maintenance of time records, payroll, accounts receivable, accounts payable and other financial records maintained in department.
  • Balances accounts by running tapes, proofreading, operating CRT, preparing summary of balances and cost information or other reports as required for use in preparing financial reports.
  • Files and maintains clerical records and reports pertinent to accounting and bookkeeping operations.
  • Records expenditures of departmental accounts; initiates and/or processes requisitions for purchases.
  • Reviews personnel action forms and time records for accuracy and budgetary conformity.
  • Supervises other office employees in accounting/bookkeeping duties.
  • Verifies encumbrances on monthly printouts.
Non-Essential Job Functions
  • May receive and/or supervise the receipt of payments from students and others for departmentally sponsored activities.
  • May make and receive business-related phone calls and perform departmental accounts research.
  • May assist various university departments and students with fiscal policies and procedures.
  • May supervise student assistants.
  • May handle large sums of money.
  • Performs other related duties as assigned.
Required Knowledge, Skills, and Abilities
The individual must possess the following knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.
  • Knowledge of, or ability to learn, university fiscal regulations and procedures.
  • Knowledge of, or ability to learn, university policies and procedures.
  • Knowledge of generally accepted accounting principles.
  • Knowledge of general office procedures.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to operate office equipment, including but not limited to typewriter, calculator, fax machine and computer terminal.
  • Ability to communicate effectively in both oral and written form.
  • Ability to establish and maintain a good rapport with university faculty and staff, students, vendors, and the general public.
  • Ability to work successfully as a member of a team and independent of supervision.
  • Ability to handle large sums of money with a high degree of accuracy.
Physical Demands Required Education
Completion of at least two years of college coursework in accounting, associate’s degree in a related field, or business school training is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.
Required Experience and Training
Three years of experience at an Accounting Clerk II level or equivalent is required. Experience in bookkeeping or fiscal accounting, general office procedures, and computer data entry and retrieval is required.
Preferred Qualifications
Experience in higher education is preferred.

Min Pay Rate Mid Pay Rate Salary Information Salary Grade - 16 Specific Job Requirements/Duties for this Posting
This position is located in the Procurement and Business Services department and reports to the disbursements manager.

This position is eligible for participation in the Teacher Retirement System of Texas (TRS) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
