Summary:

The Accounting Specialist will assist in ensuring that the company receives payment for goods and services offered to clients (Customer billings/AR) and the Corporate Accounting team. In addition, this Accounting Specialist will also support certain vendor payments/AP activities, as well as other general accounting tasks as delegated.

Responsibilities:

  • Prepares, posts, verifies, and records customer payments and transactions related to AR.
  • Creates & submits invoices to customers.
  • Maintains and updates customer files, including name or address changes.
  • Facilitates new customer set-up and terms approvals with the manager and corporate controller.
  • Creates reports regarding the current status of customer accounts as requested.
  • Researches customer discrepancies and past-due amounts.
  • Identifies delinquent accounts and follows up for payment.
  • Supports audit and related requests for AR documents.
  • Assists Accounting Manager in reconciling AR to the GL.
  • Prepares AR-related journal entries for posting.
  • Manages AP Inbox and evaluates incoming emails, prioritizing, and categorizing.
  • Responds to vendor statements, inquiries, and remittance requests.
  • Downloads and processes invoices.
  • Identifies invoice type to determine how it needs to be entered.
  • Tracks accrued purchases before entering 3-way match invoices.
  • Performs 2- and 3-way matches as well as manually codes bills without purchase orders.
  • Posts payments in USD and foreign currencies.
  • Tracks recurring online bills and downloading from vendor websites.
  • Tracks and follows up with internal employees on invoice and purchase order issues.
  • Pulls weekly AP Aging and runs weekly aging review meetings.
  • Assists in creating other accounting journal entries as delegated.
  • Assists in performing other general accounting tasks such as account reconciliations, etc. as delegated.
  • All other duties as assigned.

Experience/Requirements:

  • 2-3 years of accounting experience in a corporate setting.
  • Excellent verbal and written communication skills.
  • Proficient in MS applications as well as other accounting software programs.
  • Experience with Oracle/ Net Suite a plus.
  • Ability to work independently & interact professionally with customers & upper management.
  • Excellent organizational skills and attention to detail.
  • Very high level of attention to detail is a must.
  • Ability to think critically and problem solve.
  • Intermediate to advanced Excel skills (vlookups, sumif, and pivot tables, are all used regularly in this role).
  • Excellent communication skills.
  • Prior AR, AP, and GL experience required.

Education:

  • Associate’s or Bachelor’s Degree in Accounting, or related business courses.

Job Type: Full-time

Pay: $24.00 - $29.00 per hour
