QUALIFICATIONS AND EXPERIENCE:

• Strong knowledge of the Accounts Payable function with a minimum of three years’ experience managing the Accounts Payable process
• Experience processing and payment of invoices
• Proven experience within a high-volume Accounts Payable environment
• Medical supplies purchasing experience preferred, purchasing experience a plus
• A solid working knowledge of Microsoft Word, Outlook and Excel (Understanding V-Lookup, Pivot and Functions an advantage)
• Excellent organizational skills; attention to detail
• Exceptional communication skills
• Ability to prioritize and multi-task
• Proficient analytical skills

RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO PERFORMING THE FOLLOWING ACTIVITIES:

• Ensure the smooth running of the Accounts Payable process
• Work with clinical departments to cost effectively purchase clinical supplies for the practice.
• Maintain effective working relationship with vendors
• Research necessary information for cost benchmarking for products, services, and equipment to develop optimal expense reduction opportunities; draft and revise purchasing policies and procedures.
• Ensure all Accounts Payable queries are replied to in a timely manner and all queries are dealt with correctly and efficiently
• Regular reporting and analysis to key senior managers in the practice
• Manage purchase order process including review of purchase requests for proper documentation; determine appropriate budgetary source of funds and confirms that funds are available for each purchase; receive purchase order receiving copies from parties confirming merchandise is received
• Manage entire invoice process; receives all invoices from vendors; match invoices to purchase orders and confirms all items have been received and properly invoiced
• Resolve invoice discrepancies
• Manage all check requests and travel forms ensuring proper backup information is submitted as well as proper mileage rates are being used
• Manage monthly credit card statement reconciliation and ensure proper backup information is submitted from departments; manage credit card reward points and redemption
• Code all invoices to proper general ledger account and job codes
• Manage vendor and internal inquiries related to accounts payable issues
• Receive and prepare requisitions for vendors from all departments; verify account codes and obtain approval signatures before generating purchase orders
• Process all physician and employee expense reports
• Account for implant and injectable usage and related rebates
• Serve as back up to Payroll Administrator
• Perform other duties and responsibilities as assigned by Controller

EDUCATIONAL REQUIREMENTS:

• High School Diploma
• College with Business Degree Preferred
