Accounts Payable Specialist
Full-time (40 hours per week)
General Responsibility: To maintain the accounts payable process and system.
Specific Responsibilities: Processing and filing of purchase orders in an accurate and timely manner; Reviewing and verifying invoices and check requests; Sorting, coding and matching invoices; Entering invoices in the accounting system; Tracking expenses and processing expense reports; Preparing and processing electronic payments and transfers; Preparing and performing check runs; Posting transactions to journals, ledgers and other records; Reconciling accounts payable transactions; Preparing analysis of accounts; Monitoring accounts to ensure payments are up to date; Researching and resolving invoice discrepancies and issues; Maintaining vendor files including W9 information; Corresponding with vendors and responding to inquiries; Producing monthly reports; Assisting with month-end and year-end closing; Providing supporting documentation for audits; Preparing and scanning deposits for electronic deposit to bank; Making deposits at bank location when necessary; and Serving as backup to other fiscal/payroll staff.
Qualifications: Associates Degree in Accounting/Business or 3-5 years’ experience, preferably in a NFP organization.
Special Qualifications: Candidate must have exceptional attention to detail and superior analytical skills. Must be able to organize, prioritize and multi-task. Knowledge of A/P, GAAP, and accounting software required. Abila/MIP experience preferred. Exceptional communication and time management skills required. Proficient in MS Word and Excel. Proficient in data entry. Must be able to work well together with the Team, as well as, independently. Accounts Payable experience a must (preferably in non-profit setting).
