The Colby College Libraries are looking for a dynamic and collegial partner for the Collections Management team to act as lead assistant responsible for establishing resource records and initiating invoicing requests for electronic resources. This position is critical in supporting the e-resources lifecycle in the library’s ILS and discovery system through e-resource processing, particularly in activation, access verification and in supporting related licensing and usage statistics data management. Under the general direction of the assistant director for collection management, with additional collaboration with the electronic resources librarian and acquisitions coordinator, the acquisitions and e-resources processing coordinator will be part of a friendly and collegial team environment.

The Libraries strive to be progressive, diverse, strategic, and collaborative with a talented and team-oriented group of professionals. The Libraries consist of three physical library spaces: Miller Library (the Humanities, Natural and Social Sciences library - considered the main library - and includes special collections and archives), Bixler Art and Music Library, and The Library Annex, located just up the road from the main campus. In addition, we are a member of the Colby-Bates-Bowdoin (CBB) consortium that provides opportunities for collaboration across our respective libraries.

The coordinator’s workspace will be housed within a supportive department, collections management, a department of seven that work in a collaborative environment. Successful candidates will have demonstrated comfort with implementing new and evolving financial and purchasing workflows and systems, though no prior knowledge of library-specific suppliers or software is needed. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
  • Manage and organize the workflow for electronic resources, including processing and posting invoices, maintaining order records, documentation, and communications with stakeholders.
  • Electronically document procedural changes and communicate with stakeholders about updated processes
  • Track, anticipate, and prepare for upcoming deadlines and payment cycles.
  • Manage the electronic resources on invoicing and billing for databases and electronic journals and books
  • Responsible for maintaining the electronic and administrative records generated in relation to the electronic resource’s management budget
  • Gather and analyze usage data to aid in decisions that affect the electronic resources in the library
  • Manage user access and troubleshoot user access problems and communicate solutions to users and staff
  • Work with vendors to ensure accurate and timely order fulfillment and inquire about billing errors or mistakes; ensure accurate reporting in Workday and Alma
  • Track, anticipate, and prepare for upcoming deadlines
  • Supervise the end processing of physical serials by student employees providing quality control of these incoming materials, and facilitating the workflow of materials to the cataloging librarian as necessary.
  • Participate in professional development training programs to build networks and strengthen skills and knowledge

QUALIFICATIONS:
  • Bachelor’s degree or the equivalent in education and experience; library experience is a plus but not required
  • 1-2 years of Electronic records relevant work experience in a related field, library, or higher education
  • Ability to work collaboratively with staff, students, faculty, and other campus and community partners
  • Demonstrated knowledge of advanced Microsoft Excel and/or Access software skills
  • Excellent oral, written, and interpersonal communication skills, including strong relationship skills and ability to work with people at all levels.
  • Excellent organizational skills, ability to consistently meet deadlines and follow-through with tasks.
  • Attention to detail; meticulously check work to ensure accuracy and completeness.
  • Strong, self-motivated work ethic, flexibility, and proven ability to work both independently and collaboratively as a member of a diverse community
KEY RELATIONSHIPS:
This position has significant interaction with students, faculty, staff, and vendors. Will also work closely with CBB colleagues in technical services and acquisitions.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
General office and campus environment. Position involves sitting, although frequent movement is necessary. Occasional lifting (up to 30 pounds) required. Computer usage involving repetitive hand/wrist motion is also necessary.
