SUMMARY: Provides supervision and administrative secretarial support services for principals.


ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Supervises, manages, coordinates prioritizes and schedules the daily clerical and administrative office support functions for principals and/or directors
  • Schedule appointments, meetings and manages calendar
  • Composes correspondence, memorandums and reports
  • Maintains and updates personnel paperwork for regular, substitute and terminated employees
  • Coordinates substitute and teacher assistant schedules for classroom coverage
  • Processes work, service and purchase orders; updates service and vendor contracts
  • Tracks invoices, expenses, timesheets, transportation and field trip requests
  • Maintain inventory of forms and supplies
  • Arranges for repair and servicing of office equipment
  • Answers telephones and responds to complex inquiries appropriately; assist with visitors with district, student and education related inquiries including registration and student withdrawals
  • Maintain confidential files, reports and databases
  • Oversees report card scanning, free/reduced lunch program, and student screening


KNOWLEDGE, SKILLS & ABILITIES:

  • Knowledge of applicable Federal and State laws, district procedures and Board policies.
  • Knowledge of bookkeeping and accounting procedures
  • Knowledge of applicable Federal and State laws, district procedures and Board policies.
  • Knowledge of customer service methods and techniques
  • Ability to operate standard office equipment
  • Ability to communicate effectively verbally and in writing
  • Ability to do perform multiple clerical functions simultaneously
  • Ability to do detailed mathematical computations
  • Ability to maintain confidentiality
  • Ability to work cooperatively and courteously with staff, students, parents and community members.
  • Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.
  • Ability to handle confrontation and conflict without an emotional response.
  • Ability to speak and read English proficiently
  • Skills in preparing reports, flyers, spreadsheets, newsletters and correspondence
  • Produce accurate work and complete assignments with minimal supervision.


QUALIFICATIONS & REQUIREMENTS
:

Education & Experience:

  • High School diploma or equivalent
  • 3 years previous office clerical experience (Preferred)
  • Experience with various modern office equipment and systems
  • Criminal justice/Fingerprint clearance
  • Maintain requirements for access to Fort Huachuca

Any equivalent combination of training, education and experience that meets minimum requirements


Computer Proficiency
: Demonstrated general proficiency in computer programs such as Microsoft Excel, Word and Outlook.

Indoor office environment. This position regularly works indoors. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with employees, external agencies and the public.
