SUMMARY:

The Administrative Assistant is responsible for overseeing the internal day-to-day administrative operations, including HR/payroll, schedules, reporting, and IT supply and equipment inventory management. Works collaboratively with applicable areas of the organization to lead and implement strategic and operational improvement projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. The company reserves the right to add to, delete, change or modify the essential duties and responsibilities at any time.

  • HR: Maintains candidate pipeline with updated vacancies. Screens and interviews potential staff, completes all new hire paperwork, and coordinates and conducts portions of the orientation for new hires. Manages all system access requests for all staff. Acts as the liaison between Chrysalis and Aunt Martha’s for all HR needs. Maintains all staff files. Supports staff with all HR questions. Supports new hire transitioning.
  • Payroll/Fiscal: Approves timesheets and submits invoices and vouchers. Acts as the liaison between Chrysalis and Aunt Martha’s for all Fiscal needs.
  • Schedules: Works with leadership to develop staff schedules at least 30 days in advance. Manages schedules in ADP and Five9. Works with leadership to fill vacant slots.
  • Reporting: Maintains calendar of HFS and MCO reporting requirements and ensures compliance with submission.
  • IT Supplies & Equipment: Coordinates the ordering and distribution of IT supplies and equipment with IT Team.
  • Policy Development: Develops and maintains policies & procedures, including the employee handbook.
  • Quality Improvement: Participates in ongoing quality improvements efforts of the organization.
  • Diversity/Cultural Awareness: Ability to work effectively with diverse staff, communities and constituencies.
  • Other Duties As Assigned: Support other function of the CARES line as assigned, including quality assurance and non-crisis call responsibilities.


PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an employee to successfully perform.

The employee must be able to remain in a stationary position 50% of the time. The employee constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. The employee in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. The employee must occasionally lift and/or move up to 25 pounds. Specific vision requirements include the ability to see at close range and at a distance.

WORK ENVIRONMENT:

Remote with occasional in-office work.

EDUCATION and/or EXPERIENCE:

  • HS Diploma/GED is required with minimum of 3 years of administrative support experience is required.
  • Bachelor’s degree (BS/BA) preferred in social services or related field; or relevant experience.
