JOB DUTIES:

Reports directly to assigned executive staff and provides assistance in any and all administrative duties including, but not limited to the following:

1. Scheduling and maintenance of daily and monthly calendars for executive staff

2. Confirmation of appointments/meetings.

3. Back up for Receptionist Front Desk.

4. Providing coordination support to the executive staff with special projects in finance, IT unit, and Administration as needed.

5. Provide assistance with research on programs, projects or data gathering.

6. Preparation of meetings,

· Compiling reports and documents for presentation.

· Reminder notices.

· Distribution of agenda.

7. Responsible for taking and transcription of minutes and having them drafted and submitted by specified due dates.

8. Coordination of interviews for potential new hires.

9. Responsible for incoming mail.

· Opening and separating mail.

· Copying if necessary.

· Distribution to appropriate personnel.

10. Compose and type correspondence and memorandums as requested.

11. May be responsible for travel arrangements Flight and hotel and car reservations.

12. Consistently demonstrate and uphold CCCHC’s principle of providing quality health and human services to the medically underserved and low-income populations in a culturally sensitive manner.

13. All other duties, as assigned by executive staff.

Special Knowledge, Skills, Abilities and Attributes:

  • Demonstrated ability to exercise sound judgment.
  • Ability to communicate clearly and concisely with executive level personnel.
  • Ability to plan and be organized, self-starter.
  • Ability to recognize the needs of executive staff and implement those needs
  • Ability to work well under pressure, take initiative and be flexible and cooperative.
  • Ability to maintain confidentiality of executive and company records.
  • Ability to exhibit good interpersonal skills.
  • Ability to convey a positive and professional image to the public.
  • Demonstrated proficiency in various PC applications, including E-mail, Internet and networking devices.
  • Required to know, follow and enforce safe work practices, and be aware of company policies and procedures related to job safety, including safety rules and regulations.

· Must possess a dependable automobile with insurance and a current CA Driver License.

Education and Experience Requirements

  • 2 years of college and/or 3 years Office Administration or equivalent office experience required.
  • Type a minimum of 65 w.p.m. required.
  • Experienced in Microsoft applications (Word, Excel, PowerPoint, Outlook, etc.) required.
  • Experienced in healthcare preferred.

· Bilingual in English/Spanish preferred.

Working Conditions

Normal office environment with:

· Occasional walking, reaching with hands and arms, stooping and kneeling.

  • Ability to handle multiple tasks while also being tactful, diplomatic, and empathetic.
  • Ability to organize and schedule work effectively.
  • Ability to communicate effectively and tactfully managers and other levels of personnel, in person and on the telephone.
  • Ability to pay close attention to detail.
  • Ability to maintain composure under conditions of urgency and/or time constraint.
