POSITION SUMMARY: Administrative assistant is responsible for the smooth running of an office that maintains professional standards in an environment that is respectful of clients and their families, clinical and direct service staff and members of the general public.
Accountable and responsible for the following results:
- Exhibits polite and professional communication via phone, email and mail.
- Greet clients and visitors at check-in, and inform staff as required.
- Retrieve, receive and distribute all mail and deliveries.
- Attends agency and program meetings and records, finalizes and distributes minutes.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needing supplies, placing and expediting orders for supplies.
- Ensures proper functioning of office equipment by completing preventive maintenance and calling for repairs when needed.
- Maintains accurate and up-to-date filing and record-keeping systems relevant to the position including both paper-based and electronic systems.
- Act as liaison with business function vendors to coordinate services and payment and collaborate with finance staff at corporate partners to coordinate payments.
- Provide support to programs with data entry and compiling reporting data for distribution.
- Provide support to managememt with scheduling both client and administrative meetings and appointments as needed.
- Provide support to programs producing and maintaining correspondence and files.
- Facilitates the review and revision of policies, procedures and forms for CommuniCare.
- May perform other assignments and duties as assigned.
- May be required to use own vehicle on company business.
- Regular and consistent attendance is an essential function of this position.
- High school diploma or equivalent.
- Two years related experience and/or training; or equivalent combination of education and experience.
- Knowledge of various office equipment, computer skills, typing, organization, ability to manage multiple telephone lines.
- Must be proficient with PCs and Microsoft Office Word & Outlook and must have the ability to navigate through electronic health record.
