Description
Hofstra University’s School of Health Professions and Human Services is seeking an Administrative Assistant to work in the Dean’s Office. The Administrative Assistant provides support and coordination for the school and ensures the Dean’s Office operates effectively and efficiently.

Reporting to the Dean, the Administrative Assistant supports departmental programs and initiatives and works closely with the Dean, Senior Associate Dean, Senior Assistant Dean, and Assistant Dean to help achieve goals and objectives. The Administrative Assistant is expected to forge productive working partnerships with, and provide prompt, efficient services to students, faculty, and administration at the school. This position involves managing communication with all constituents on campus and uses sound judgment to respond to inquiries as they are received to ensure each item or concern is addressed promptly and appropriately.

Responsibilities include, but are not limited to:
  • Manages the planning, implementation, and evaluation of events, including reserving venues, coordinating equipment/technology and catering needs, and any other special meeting requirements.
  • Plans and assists with faculty assignments for Admissions events, such as Open Houses and Admitted Students Days.
  • Manages and documents correspondence with university offices and units to assure compliance with deadlines, such as promotion, tenure, faculty reappointments, curriculum approvals, bulletin updates, class schedules, and academic scheduling.
  • Consults with the Dean, Senior Associate Dean, and Assistant Dean to manage annual deadlines for accreditation, faculty appointments, annual reports, etc.
  • Communicates with faculty and stakeholders via proxy.
  • Manages special projects as assigned by the Dean and Senior Associate Dean.
  • Assists in the management of the digitized record keeping system for the Dean’s Office.
  • Manages multiple tasks, exercises judgment and independent initiative and handles time sensitive matters that require concise problem solving and a high degree of confidentiality.
  • Performs other related duties as assigned.

Qualifications
  • Associate’s degree or equivalent related work experience required.
  • Detail-oriented, well-organized, and self-motivated.
  • Ability to take initiative, prioritize, manage multiple tasks, and exercise good judgment and discretion with sensitive and confidential information.
  • Excellent interpersonal and organizational skills.
  • Exceptional typing and computer skills.
  • Demonstrated proficiency in Microsoft Word, Excel, and PowerPoint.

Preferred Qualifications
  • Knowledge of Ellucian Banner and Blackboard.
