Overview:
The Administrative Assistant will be the face of the company in the Woodruff location. They will greet guests and customers as they will be the first face they see. This is an in-office position (8am to 5pm) M-F and not a hybrid role.

We are looking for someone who is professional in a manufacturing atmosphere. This person will be able to follow directions, work independently, is detailed-oriented, a problem solver when needed, and a most of all, a team player. This position will also support up to three senior leaders with expenses, travel, and calendaring as well as other miscellaneous requests.

This position will also be a back-up to the main receptionist. This role reports to the Administration Manager, located in Irvine, California.
Responsibilities:
  • Greets onsite visitors and vendors
  • Arrange meetings, manage, and approves conference room requests
  • Assisting management with calendaring
  • Center point of contact for ordering office and kitchen supplies for 2 locations
  • Assist with travel and expenses using Concur
  • Assist with the coordination and preparation of customer visits
  • Assist with swag distribution and other misc. tasks as a member of the Fun Committee
  • Responsible for shipping customer sample requests as required
  • Assist manager with additional duties or projects that maybe assigned
  • Handling of incoming and outgoing mail as needed
  • Other additional administrative duties as requested.

Qualifications:
  • Two (2) or Four (4) year college degree preferred
  • Four (4) years of direct work-related experience as a receptionist/administrative assistant working with senior leadership
  • Ability to work effectively and in a timely manner,
  • Be able to take direction and work independently and understand how to prioritize tasks.
  • Must enjoy working with different personality styles and management levels
  • Team player and can-do attitude.
  • Time Management- Strong organizational skills, detailed oriented, excellent problem-solver and the ability to follow-through.
  • Excellent verbal and written communication skills.
  • Possess intermediate skills in Outlook, Word, Excel, and PowerPoint. Intermediate experience in Microsoft Teams, SharePoint and Concur are a plus.
