Overview:
Request, review, communicate, process, and send all client travel documents from cruise and tour vendors to clients. Provide support in additional operational areas as needed.
This position is hybrid based in Seattle, Washington (free parking) for Monday, Thursday or Friday (will be in the office) and the other days remote.
Hours 8:30am-5pm Pacific time Responsibilities:
Request, review, communicate, process, and send all client travel documents from cruise and tour vendors to clients. Provide support in additional operational areas as needed.

Reporting/Administration:
- Run and update internal gift order and client document report daily.
- Order and reconcile client gifts with suppliers
- Process cruise and tour documents received from suppliers.
- Complete online Immigration questionnaire for clients to obtain electronic documents from vendors.
- Verify accuracy of documents against AgentMate data and resolve any discrepancies with vendors.
Communication:
- Contact clients regarding their documents via email and phone.
- Validate and communicate current Health Requirements for COVID-19 and any other applicable protocols.
- Ensure guests are informed of latest Entry and Visa Requirements.
- Respond to agent, vendor and client questions concerning documents.
Shipping:
- Log detailed document content information in and out of AgentMate.
- Print labels, information insert sheets and e-documents daily.
- Prepare and send document package via USPS or FedEx and log tracking details in AgentMate.
Other Operational Areas:
- Act as backup receptionist for phone coverage.
- Prepare, label, and send hosted group voyage gifts and information.
- Prepare, label, and send marketing materials for large mailings.
- Special projects as assigned.
- High School Diploma or equivalent.
- Two years administrative/clerical experience. Previous experience in the travel industry preferred.
- Demonstrated computer aptitude/proficiency in Microsoft Office Professional Applications.
- Detail oriented with excellent customer service skills.
- Excellent communication, problem solving and organizational skills.
