Administrative Assistant - Purchasing

Are you looking for a good long-term opportunity to join an established, privately held and successful company in the South Suburban Chicago area flat-rolled steel processor to take advantage of your capable experience? We are a steel product manufacturer and distributor in Markham, IL, with a sixty-five-year reputation of excellence. You would be working in a modern office facility with convenient parking.

Starting salary: $40,000.00 per year, commensurate with experience, plus opportunity for year-end cash profit sharing bonus up to 20% of salary!

Admin will assist company’s Vice President - Purchasing. Key duties and responsibilities include:

- Preparing all Purchase Orders and Managing outstanding Purchases... ensuring all purchase order terms (prices, terms of payment and other charges) are correctly entered into company's accounting system. Verifying (or obtaining) approvals and that correct departmental codes are entered and shown.

- After Vice President of Purchasing's review and approval of new Purchase Orders, arranging for timely delivery to customer, via mail or email, as per Seller's requested procedure.

- Prepare Open Purchase Order Log daily - Excel Report

- Communicating with suppliers when needed.

- Accurately posting valid seller invoices received into our accounting system for payment when due.

- Ensuring valid supplier’s invoices received daily and previously posted into our accounting system are processed and arrange to be paid on a timely and accurate manner, per direction of company’s Controller or Assistant Controller.

- Maintaining Vice President of Purchasing's files in an organized manner for later reference.

We will also provide on-the-job training of some of these duties and responsibilities.

Attributes and skills

  • Reliable, conscientious, organized self-starter and personable with good phone skills.
  • Good mathematical aptitude and proficient in use of calculators and computers.
  • Working knowledge of Microsoft Office programs… particularly proficient in Excel.
  • Accurate data entry is always critical, whether working in Excel or other company programs.

Due to our growth, we are now looking for a personable, responsible, reliable, and punctual individual to work daily 7:30 am to 4:30 pm (including one-hour lunch). Business casual attire. Convenient parking is available adjacent to our modern office.
