BASIC FUNCTION:

The Administrative Assistant is responsible for providing high-level administrative support to the President & CEO of SBHF, including undertaking projects and special assignments.

DUTIES & RESPONSIBILITIES:

1) Provides administrative support to the President & CEO

a. Maintains the CEO’s daily calendar, including scheduling, arranging, coordinating and managing meetings, ensuring that the CEO has all required materials well in advance

b. Schedules and manages travel for the CEO and Board members, including flights, accommodations and ground transportation.

c. Answers the telephone, greeting callers; screens and announces calls, maintains a phone log and follows up with callers as appropriate; fields calls in the CEO’s absence, providing assistance as appropriate

d. Processes and distributes incoming and outgoing mail.

e. Provides general clerical office duties including photocopying, faxing, organizing and maintaining paper and electronic files, maintaining and ordering supplies for the administrative offices as needed.

f. Creates original correspondence and reports as directed.

g. Manages and reconciles the expense accounts, check requests and other reports for the CEO and the Board

2) Provides administrative support to the Board of Directors

a. Coordinates logistics for annual and monthly Board of Directors meetings, including arranging catering, providing meeting notification and background materials as necessary

b. Takes and transcribes meeting minutes; distributes follow-up materials as necessary and appropriate

3) Undertakes special projects and assignments as directed

a. Conducts research, and gathers and summarizes information and data relevant to the project/assignment

b. Provides reports of information collected; draws conclusions and prepares recommendations (policies, decisions, etc.) and projects the outcome of changes to policy or operations.

c. Administers programs or policies as directed with the assistance of senior level management.

KNOWLEDGE, SKILLS & ABILITIES:

1) Possesses more general knowledge and clerical skills, including basic business knowledge, experience in a business environment with progressively increasing responsibilities.

2) Possesses high degree of demonstrated proficiency in the use of Microsoft Office products (Word, Excel, PowerPoint, Outlook).

3) Has knowledge of, and experience with, a broad range of research techniques using traditional and internet methods.

4) Understands the mission and operation of a Federal QualifiedHealth Center, and demonstrates awareness of Federal, state and local rules and regulations governing FQHCs

5) Possesses high level of verbal communication skills

6) Possesses written communication skills including the ability to draft and create correspondence and written reports, as well as proofread the work of others.

Job Type: Full-time

Pay: $15.00 - $22.63 per hour
