Stellher Human Services is a National Health Service Corps approved site. Clinicians in both our Bemidji and Detroit Lakes outpatient programs may be eligible to participate in the student loan repayment program.
Position Description:
The Administrative Assistant facilitates the efficient operation of the agency by performing a variety of clerical and administrative tasks. The ideal candidate will have a solid background in customer service and office procedures.
Primary Job Responsibilities:
- Receptionist duties including answering multi-line telephone, scheduling client appointments, processing client intake paperwork, receiving client payments, client appointment reminder calls
- Data Entry
- General office duties: Filing, scanning, faxing, preparing correspondence
- Audits client forms/files for completeness and accuracy
- Performs duties in compliance with federal and state laws related to mandated reporting, HIPAA, and the Data Privacy Act.
- Processes outgoing mail
- Maintains cleanliness of office and common areas
- Establishes and maintains good working relationships with clients and coworkers
- Treats clients and coworkers with dignity and respect
- Works as part of a team to promote a culture of continuous improvement and commitment to the mission of the organization.
- Carries out other duties as assigned
Qualifications:
- Education: Minimum high school diploma or equivalent, Associates Degree or vocational school training preferred
- Experience with electronic health records preferred
- Knowledge of HIPAA privacy rules
- Minimum of two years of experience in an administrative role.
- Proficient in Microsoft Office Suite or related software.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Must be able to access and navigate each department at the organization’s facilities.
