General Description / Primary Purpose
Reporting to the Director of the School of Nursing, the Administrative Assistant coordinates and manages the office staff, budgets, and operations of the department and supports senior employees by preparing correspondence and managing schedules, assists with student and faculty event planning.
Essential Duties

Job Function
Manages department budget including salary, expense, operating capital, and other personal services funds for assigned areas. Coordinates the processing of department personnel/payroll transactions. Works with internal and external vendors and coordinates purchases from central purchasing through payable and disbursements. Analyzes office operations needs in terms of equipment, workflow, materials and implements appropriate systems. Writes office procedures manuals. Recommends and implements internal operating policies and procedures. Serves as a resource person to other support staff in accomplishing their tasks and contributes to the overall functioning of the College. Works in close operation with various departments and personnel on the UNF campus to ensure smooth running of the nursing program. Composes correspondence and other documents on a wide variety of subjects. Supports the Director with all outside communication. Schedules meetings, sets up community events and internal meetings for the Director. Implements and trains staff on new policies and projects. Conducts staff hires and support full-time faculty hires. Coordinated all new hire information with HR and oversees payroll, supplements, EPAFs and SPI payments in consultation with the BCH Budget Officer. Complies annual budget requests and financial records. Coordinates all Director meetings and oversees their operations. Develops administrative projects and trains new staff. Oversees the operation of all nursing programs and assists with program accreditation. Assists with special projects. Handles P-card oversight and audits as needed. Works closely with finance on faculty, staff and expense budgets. Maintains spreadsheets on all departmental accounts and prepares data analysis for the Director.

Coordinates and manages the office staff Supervises the office staff, coordinates all new employees, orders supplies, and maintains budgets.
Prepares correspondence for the Director, serves as direct contact to outside persons
Acts a liaison on all Search Committees, contacts search applicants, sets up Director meetings, prepares paperwork and works closely with HR to ensure administrative requirements are met.
Prepares all outside statements and community flyers and letters. Handles administrative purchases and budgets for the Director.
