Department Summary
The University of North Texas (UNT) is a Carnegie R1 research university and a federally designated Hispanic-Serving Institution and Minority-Serving Institution, with a diverse population of over 40,000 students. The UNT Chemistry Department serves this diverse population of students through both undergraduate degrees (B.S., B.A.) and advanced degrees (M.S. and Ph.D.). Over 4000 undergraduates enroll in our large General Chemistry and Organic Chemistry lab and lecture courses each year. Our graduate program, currently with over 100 students, is focused on training the next generation of scientists in research. Our research-active faculty members pursue research in diverse areas ranging from materials chemistry to medicinal chemistry, with 80% of them receiving external financial support for their research through grants and contracts. Position Overview
This position serves as the front desk staff member in the Chemistry Department main office and responds to needs of faculty, staff, and students who are seeking assistance. The position is also responsible for carrying out many administrative functions of the Chemistry Department main office, in coordination with the Department Chair and Chair’s Assistant, including student teaching evaluations, routing grade appeals, travel coordination, textbook/course material coordination, and completion of the annual departmental factbook.

Minimum Qualifications

High school diploma and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.



Knowledge, Skills and Abilities
  • Advanced customer service skills.
  • Knowledge of Microsoft Office.
  • Knowledge of accounting/budgeting procedures.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.

  • Proficiency with Microsoft Word and Excel.
  • Experience working in an academic environment with students & faculty

Job Duties

o
Responsible for greeting visitors to the Chemistry Main Office, providing or directing visitors to assistance, and answering the main departmental phone number.

o
Set up student teaching evaluations (SPOT) for all instructors, including faculty, adjuncts, and lab and classroom TAs, including department-specific evaluation questions. Save and archive individual evaluation reports and create summary spreadsheets each semester from reports.

o
Copy and organize course exams, quizzes, and handouts as specified by instructors. Secure in exam/copy drawer when complete and maintain security.

o
Assist faculty and students with scheduling conference rooms (CHEM 105, 206, 307E) on electronic calendars

o
Check the CHEM 105 calendar each morning to stay aware of events and make plans to assist with faculty and student needs. Help with coffee and refreshment set-up for student defenses and other events as requested

o
Prepare travel documents and travel arrangements for departmental faculty, staff & students. Process requests for approval of travel, pay conference registrations by P-card, and follow up on reimbursement checks

o
Order supplies for use in the Main Office

o
Prepare and publish Faculty & Instructor Schedule with office hours and phone list for each semester

o
Monitor main office copy machine maintenance, coordinate repairs, and notify department and find alternative copy solutions when copier is down.

o
Annual preparation of the Departmental Fact Book. Gather faculty accomplishments and statistics from their Annual Review reports. Update the factbook with material, to then be proofed by professors and finalized by Department Chair. Publish on department Web page.

o
Coordinate all departmental class/lab textbook adoptions from the UNT bookstore and request desk copies of textbooks as needed

o
Distribute US /Campus mail in faculty, staff, and graduate student mailboxes

o
Backup RMR (Records Management Representative) for Faculty & Student records for the Chemistry Department – focus on student records (primary RMR is the Chair’s Assistant)

o
Assist the Chair’s Assistant with set-ups & clean-ups for departmental events as needed

o
Distribute department-owned teaching technology items, including webcams and electronic tablets, to instructors. Keep an inventory of these items and ensure they are returned when no longer in use

o
Accept course concerns and grade appeals from students and route to the Department Chair or designee. Maintain archives for departmental records
