Requirements

  • Receives visitors and incoming phone calls. Serves as receptionist by greeting visitors and referring callers: responds to telephone calls using information of status of program or projects; provides detailed knowledge of functions, policies and procedures; gathers background material and assures that appropriate individual gets message with appropriate information for prioritizing response.
  • Operates word processing, data base management, graphics and PC based word processing to type and format policies, memoranda, letters, reports, announcements and other material. Copies, files, stores and distributes finished product according to departmental procedures. Types from written drafts, recorded dictation equipment and own compositions based on general guidelines. Proofreads finished products.
  • Makes and receives calls to schedule appointments, committees and other meetings. Prepares and distributes typed meeting notices, meeting support requests, agenda and minutes. Schedules meetings rooms, arranges, room set-up and delivery of audiovisual equipment and handouts. Double checks on catering and room set up to assure it is in place.
  • Assists in the scheduling and support of staff meetings. Prepares and distributes meeting notices, agendas, minutes, and materials.
  • Files and retrieves records and documents using departmental file cabinets including low as well as above the shoulder drawers.
  • Prepares check request for payment of invoices for department. Maintain logs of offices expenses to stay within budget. Verifies expense data, files, and expense reports and prepares and monitors office supplies. Arranges for repair and maintenance of machines, equipment and furniture.
  • Deals discreetly with sensitive, confidential information concerning professional and personal information about staff, hospital programs/operations and patients.
  • Opens sorts and distributes incoming mail. Labels, addresses, sorts and stuffs outgoing mail.
  • Checks bi-weekly time and attendance reports and staff schedules, verifies data, and makes corrections using the Kronos system for the approval of the Director
  • Special projects as delegated by the department manager

Qualifications

Two years of business, college, or graduate of accredited secretarial school plus one year of clerical/secretarial experience or equivalent combination of education and experience that provides the required knowledge, skills and abilities.
