Job Description

The Administrative Assistant II is responsible for assisting the Department Director and designated subordinates with support, customer service and administrative duties. The Administrative Assistant II has additional training and experience than the Administrative Assistant I and represents the Department as the initial contact for residents, visitors, and other departments throughout the community.

Job Duties (Essential)

  • Create and maintain administrative correspondence, memorandums, and reports in an organized manner.
  • Maintain the Executive Director’s appointment calendar.
  • Serve as vendor liaison for proposals, contracts, service agreements, insurance certifications and maintain them in an orderly manner. Oversight of the receipt and timely payment of vendor invoices for services and items purchased.
  • Coordinate and track the use of community bankcards by various team members.
  • Review, edit, and finalize external communications (emails, letters, notices, social media postings, etc.) as well as internal memos/postings initiated by various department leaders.
  • Serve in the following roles as backup:
  • Reception/concierge
  • Business office & payroll
  • Oversee the availability of office equipment throughout the community.
  • Represent the community and the Executive Director in a positive manner to residents, families, governmental agencies, professional organizations, and community groups.
  • Maintain and promote compliance with the policies of the community and Pinnacle Living. Maintain resident rights and confidentiality.
  • All other duties as assigned.

Qualifications

  • Advanced administrative knowledge and skills which are frequently applied within circumstances not clearly defined using standard procedures and practices.
  • Typing speed of 50+ wpm.
  • Ability to read and write and follow verbal and written instructions.
  • Excellent computer skills with proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Attention to detail and high regard for confidentiality.
  • Ability to communicate well with visitors, residents, and family members, as well as community team members.
  • Exceptional customer service and phone skills.

EDUCATION, EXPERIENCE, CERTIFICATION AND LICENSURE REQUIREMENTS

  • A high school diploma or equivalent is required.
  • Associate or bachelor’s degree preferred.
  • 3-5 years administrative experience preferred.

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

  • Universal staffing, holidays, inclement weather, and a flexible work schedule are required.
