GENERAL STATEMENT:

This position performs independent work assisting management in the handling and coordination of administrative functions in a Field Office of the Division of Law Enforcement.


Serves as the Records Custodian for the Marathon Field Office. Maintain records and files in accordance with State Statutes, agency policy, and standard office practices. This will include the handling of all public record requests. Maintains personnel files.


Facilitates procurement and acts as a liaison with vendors regarding goods or services. Serves as liaison with the South Region Finance and Budget office. This will include the APR system entry and annual contract renewal process.


Serves as Alternate Evidence Custodian for the Marathon Field Office. Ensures accurate completion and maintenance of records related to evidence and seized and/or forfeited property relative to law enforcement cases in accordance with applicable laws, policies, and directives.


Assists law enforcement personnel regarding administrative paperwork, budget, or clerical matters. Serves as primary call taker for the Marathon Field Office.


Ensures administrative tasks are timely and accurately completed. Works closely with Captain and other staff with administrative duties and assists with duties in his absence.


Coordinates special administrative projects and tasks as assigned by the Captain, to include but not limited to the development and preparation of various reports, analysis, and other management documents.


Provides for the efficient operation of the field office by ensuring facilities, equipment, and supplies are maintained.


Serve as liaison to the Clerk of Court and Witness Management to ensure court documents and subpoenas processed in accordance with applicable laws, policies and directives.


Works with Regional Property Manager with property related matters.


Performs other related duties and special projects as assigned.


Knowledge, skills and abilities, including utilization of equipment, required for the position:

Knowledge of purchasing rules; property inventory, finance & accounting procedures, personnel and budget. Ability to prepare correspondence and administrative reports. Ability to use personal computer. Ability to work independently. Ability to establish and maintain effective working relationships with others. Ability to communicate with the public in a courteous manner.


Minimum Qualifications:

  • Must be able to work independently
  • Must be able to work with sensitive law enforcement information and maintain confidentiality
  • Must have good organizational skills
  • Must be proficient with Microsoft Office products such as Word, Excel and Outlook
  • Must be comfortable handling seized property such as illegal drugs, weapons and dead animals
  • Candidate selected for the position must pass a level 2 background check
  • Must be familiar with the State purchasing rules, finance & accounting procedures, personnel and budgeting.
  • Must be able to travel for meetings, including overnight stay
  • Must be able to work in a team environment and coordinate responsibilities with multiple individuals
