This position will support the DoD Child Collaboration Study, a project of the Uniformed Services University of the Health Sciences’ Center for Deployment Psychology (CDP), based in Rockville, MD. The Administrative Assistant position involves activities related to CDP’s mission, which is to lead the development of a community of culturally mindful and clinically competent providers through the delivery of high-quality training and education, the convening of experts, and the dissemination of research-based treatment and the latest topics in military behavioral health. HJF provides administrative and management support to CDP. The CDP envisions a future in which all service members, veterans, and their families receive quality behavioral healthcare that meets their unique needs. We aim to achieve this vision through efforts to train military and civilian behavioral health providers to provide high-quality deployment-related behavioral health services to military personnel and their families.

Responsibilities:
Responsibilities

The CDP is seeking an experienced candidate to fill the Administrative Assistant position for the DoD Child Collaboration Study. This project explores telehealth and tele-education feasibility and best practices to increase access to specialty care for military-connected children and families. The incumbent will perform various administrative and clerical duties supporting the project, the DoD Kids team, and its administrative and executive staff. The DoD Kids team is developing numerous asynchronous trainings for this project and planning two multi-stakeholder convening meetings for 2023, among other activities. The incumbent will:

  • Set up and maintain electronic program files
  • Perform typing assignments and data entry into program files, software, and shared drives, including updating databases.
  • Create, edit, and maintain documents and spreadsheets to track the status and progress of tasks. Proofread all work.
  • Schedule meetings and maintain calendars of the DoD Kids team, as needed.
  • Record meeting minutes and correspondence as directed.
  • Respond to general program-related emails, with assistance as needed.
  • Test asynchronous courses as needed in the Learning Management System and provide feedback.
  • Responsible for all communications regarding internal pilot testing for asynchronous trainings.
  • Assist with completing and compiling documentation for submission to obtain continuing education credits.
  • Accountable for managing travel arrangements for attendees at upcoming stakeholder meetings.
  • Assist with initiating, organizing, and completing program activities.
  • Identify and implement additional strategies to promote external visibility of the program, including background information gathering, locating marketing resources, and other resources as identified.
  • As an integral member of the DoD Kids team, the AA is encouraged to recommend new procedures or strategies to improve processes or address challenges.
  • When assigned or directed by the supervisor or program manager, may perform other duties and responsibilities.

Required Knowledge, Skills, and Abilities


Applicants must have a general knowledge of business practices and professionalism to succeed in this role. Knowledge and skill in proper grammar, punctuation, spelling and other professional writing standards will be essential. The applicant should also be skilled in typing and data entry, basic office software, and organizational strategies.

The DoD Kids team is looking for an Administrative Assistant who can work quickly and meet identified deadlines while also being detailed and conscientious in their work. Applicants should be self-motivated, organized, and work well autonomously. Applicants must be skilled interpersonally to be a great fit with the team. The DoD Kids team is both highly independent and interactive. The team works with several external organizations and individuals, so our Administrative Assistant must have excellent verbal and written skills, with the ability to provide task updates ad hoc and at scheduled meetings. Applicants must possess the ability to provide customer service in a culturally sensitive, accessible, and inclusive manner that demonstrates a comprehensive understanding of diversity, equity, and inclusion.

This position requires a willingness to learn about the DoD Child Collaboration Study and to develop basic familiarity with military and behavioral health culture and terminology. Prior experience within military and behavioral health care settings is strongly preferred. A candidate who has knowledge and experience with government travel is also preferred.

Education and Experience
  • High school diploma or GED required; Bachelor’s degree preferred
  • Minimum of 3-5 years of experience is required
Compensation
The likely salary range for this position is $22.88 USD to $29.80 USD per hour. This is not, however, a guarantee of compensations or salary. Final salary will be determined based on market analysis, experience, and education.
