Position Overview

Arlo is in search of an Administrative Assistant to support Federal Housing Finance Agency (FHFA), which helps to regulate and supervise Fannie Mae, Freddie Mac, and the 12 Federal Home Loan Banks (FHLBs). This administrative assistant will provide a broad range of administrative support services to BOB and other offices as required, by performing a variety of tasks to facilitate office functions.

Job Responsibilities and/or Success Factors

  • Arranging Appointments, Conferences, and Meetings- maintaining schedules, arranging appointments, conferences, and meetings with internal FHFA employees and members of the private sector. Arranging logistics, taking notes, and assisting in meeting commitments.
  • Answer telephone calls and route to the appropriate staff member as necessary.
  • Receive visitors when required and direct them to the appropriate location or staff member.
  • Create basic, non-technical documents and proofreading documents such as form letters, memoranda, speeches, and reports using appropriate word processing software.
  • File and maintain subject matter files including, but not limited to, correspondence, reports, reference materials, mailing lists, and telephone directories and appropriately dispose of files in accordance with FHFA’s policies and procedures.
  • Maintain, order, and stock office supplies.
  • Monitor all office equipment.
  • Receive, sort, distribute, redirect, and forward all incoming mail and maintaining a tracking system for incoming and outgoing controlled mail.
  • Assist in the preparation of travel arrangements and related documents- verifying the nature of the travel, obtaining necessary clearances, coordinating with the appropriate government travel contract agency, confirming reservations, responding to questions related to allowable travel costs, and making any other logistical arrangements.
  • Preparing training requests to include pertinent training information must be maintained in the branch’s designated location.
  • Monitor/input required timecard data for payroll processing and verify data entry for accuracy.
  • Process and monitor training requests for OCOO; and reconciling expenditures for employees’ training; and schedule training events as needed.
  • Strong clients focus and commitment to continuous improvement, ability to proactively network and establish relationships.
  • Manage multiple priorities in a high-paced and fast-changing environment.
  • Perform other duties as assigned or required.

Education and Minimum Qualifications

  • Must be a US Citizen
  • Must have at least 5 years of related experience
