Job Description
Reports to the Dean of Instruction.
Job Duties
General Duties:
1. Produce letters, reports and minutes from rough drafts utilizing word processing skills.
2. Maintain an accurate and complete filing system.
3. Compose routine correspondence.
4. Maintain an effective working relationship with college personnel, students and the community.
5. Handle telephone calls in an effective, professional manner.
6. Assist Dean of Teaching and Learning in planning and implementing routine responsibilities and functions.
7. Upgrade skill level and performance through staff development.
8. Demonstrate exceptional adherence to work schedules and policies as exemplary performance for co-workers and subordinates.
Specific Duties:
1. Prepare instructor/adjunct contracts and overload cover sheets.
2. Maintain office supplies and travel reports.
3. Monitor expenditures and revenues.
4. Process procurement card purchases.
5. Register students in Banner.
6. Compile and maintain data for state reports.
7. Arrange for college vehicles, transportation, reservations, and lodging requirements.
8. Purchase items for each Career & Technical program.

9. Prepare specifications for quotes and bid tabulations as required.
10. Purchase supplies and equipment and maintain detailed record of purchase.
11. Process check requests and purchase requisitions.
12. Develop and maintain Excel spreadsheets.
13. Data input—all vocational and technical classes, student and registration information.
14. Prepare semester electronic schedules using Banner.

Mandatory Qualifications
M1)
Minimum of an
Associate degree in Business and Office Technology or related field and four years office work experience.
(M2) Proficiency in Microsoft Office Suite, including proficiency in Word, Excel, and Outlook.
(M3) Effective organizational and communication skills.
(M4) Training and/or experience in the operation of personal computers.

Desirable Qualifications
(D1) Bachelor’s degree in business or related field.
