Position Purpose:

Provide high-level administrative support to the Dean of Students & Director of Student Support to ensure the efficient operation of the Elementary School and main office. Under supervision, the administrative assistant is responsible for maintaining strict confidentiality in performing their duties. The Administrative Assistant performs a wide variety of data entry and incident record-keeping duties. These duties include behavior tracking, disciplinary referral notes, accounting and schoolwide communications. The nature of work may require mandatory compensatory time including nights, weekends, and holidays.


Qualifications REQUIRED:

  • Education/Certification:
    • A High School Diploma Degree
  • Knowledge/Skills/Experience
    • Experience working with high-stake decision-making and challenging consumers
    • Ability to type 35 words per minute without error
    • Proficient keyboarding, word processing, and file maintenance skills strong editing skills
    • Knowledge of school district organization, consumer relations, and administrative policies
    • Excellent organization, communication, and interpersonal skills
    • Ability to use personal computer and software to develop spreadsheets, and databases, and edit word processing documents; dictation
    • Good judgment, and strong time management skills in order to meet deadlines.
    • Knowledge and ability in the use of a personal computer and software applications (Microsoft Word, Excel, Access, PowerPoint, etc.)
    • Knowledge and ability in the use of Canva, PosterMyWall, and/or other design software applications
    • Write, monitor, and disperse emails to all stakeholders
  • Experience:
    • Experience working with high-stake decision-making and challenging consumers
    • Two years or more advanced secretarial experience with extensive contact with people
    • Prior experience in the executive office of the public school district or another entity

Major Responsibilities and Duties:

  • Prepare and post-meeting agendas and records (ie. Newsletters).
  • Collect, organize, copy, and bind all materials for meetings; distribute to individuals
  • Prepare all correspondence and reports
  • Compile information and prepare reports as needed
  • Distribute materials to administrators, teachers, parents, students, and community partners
  • Compile information from other departments and respond to requests for additional information in a timely manner.
  • Assist with grant preparation and onboarding
  • Assist in organizing in-school and community events and professional development opportunities
  • Coordinate and schedule schoolwide Culture Calendar and Student Support Team events
  • Other duties are assigned under the description of the position.

Reception and Phones:

  • Schedule appointments and maintain the Dean’s calendar, as the SCCS Culture Calendar
  • Greet visitors and respond to routine inquiries from staff and the public; refer appropriate inquiries or problems to Dean.
  • Answer incoming calls and handle questions from the public, outside agencies, board of trustees, and staff.


Other Essential Duties:

  • Organize and manage routine work activities of the Main office.
  • Maintain physical and computerized files, including office disciplinary referrals, meeting minutes, agency referrals, and classroom behavior records.
  • Assist with the research, writing, and submission of Student Support Team and whole-school grants and programs.
  • Review and distribute school materials.
  • Maintain confidentiality of information.
  • Other duties and responsibilities as assigned
