SUMMARY:

Provides administrative support to the Sr. Vice President for Psychosocial Services/Community Affairs.

RESPONSIBILITIES:

  • Coordinates daily office operations of department
  • Coordinates schedules, appointments, meetings and conferences, including travel arrangements.
  • Reserves conference rooms, sets up agendas, and makes arrangements for food, travel, supplies and materials; contacts participants as necessary.
  • Prepares, transcribes, types, and proofs a variety of memos, reports, correspondence and minutes. Completes Excel spreadsheets and PowerPoint presentations as needed.
  • Reconciles department credit card expenses using Concur system. Submits expense reports to finance department.
  • Establishes and maintains office records, documents and files
  • Maintains department equipment and inventory supplies
  • Photocopies materials, as requested
  • Uses initiative and good judgment to coordinate and implement special projects
  • Provides telephone coverage for the administration offices
  • Participates in outreach activities, as necessary

QUALIFICATIONS:

  • Bachelor's Degree required
  • Computer literacy with proficiency in MS Word, Excel, and PowerPoint.
  • Demonstrated organizational, interpersonal, and communication skills; ability to handle multiple tasks at once
  • Ability to generate, interpret and analyze data from multiple sources.
  • Four to five year’s executive level administrative experience, hospital or healthcare setting preferred
  • Minimum typing speed 50-60 wpm
  • Demonstrated ability to handle extremely confidential matters with discretion
