About the role...

The Administrative Manager provides executive administrative and operational support for the Chief Program Officer (CPO) and Associate Vice President's (AVP) within the Program Department. This role will have both internal and external-facing responsibilities handling complex situations and multiple responsibilities simultaneously, mixing short and long-term projects with the urgency of immediate demands. The Administrative Manager will also assist with special projects as assigned and provide high-level administrative support to the Programs Leadership Team.

You will...

  • Schedule, plan, and execute all Program Department meetings in a timely manner. Prepare meeting materials, attend Meetings, draft meeting minutes, and handle related issues as they arise. Assure that materials are accessible and distributed in a timely manner and kept confidential.
  • Independently assist Programs staff with meetings, operations and arrangements, as needed.
  • Independently manage the scheduling and implementation of a robust calendar of events and projects, including communications, events management and assessment.
  • Manage the cross-departmental Internal Communications to include monthly department meetings, office hours, provider Meetings, operations meetings, etc.
  • Independently manage planning for on-site events: research venues, talk with external vendors, review contracts, manage participant registration and lists, conduct site visits, and create budgets and price comparisons.
  • Manage administrative functions, communications, action items and follow-up for meetings.
  • Manage the production of the Field Note newsletter to Providers and ensure the topics are selected, written, edited, proofed and launched each week, as well as continually prepping for future weeks.
  • Creates schedules and tracking mechanisms using systems including scheduling software; Workamajig, Excel and intranet, creates new templates/processes where necessary.
  • Facilitates meetings, creates and maintains project documentation ensuring specifications, deadlines and deliverables are accurately communicated to internal and external resources and project deadlines are met.

You need...

  • Minimum 4 years’ experience supporting an Executive Director, President/CEO, COO, or other similar senior-level executive required.
  • Must exhibit the skills to collaborate with and achieve actionable results through others, the ability to manage by influence, gaining cooperation of others, and the capability to interact within all levels of the organization.
  • Demonstrated ability to deal with highly confidential information and act as a liaison between internal and external constituencies.
  • Ability to independently manage projects and special assignments that require cross-functional collaboration; monitoring progress; and problem-solving.
  • Strong verbal and written communication and interpersonal skills, professionalism, and positivity, in a public facing role, with comfort interacting and supporting individuals of a variety of backgrounds.
  • Strong organizational and time management skills and impeccable attention to detail.
  • Advanced Microsoft Office and Zoom skills required, familiarity with Salesforce, Citrix, Survey Monkey and Sharefile preferred.
  • Event management experience preferred.
