Position Summary:
The Administrative Project Coordinator at Trust for Public Land (TPL) provides high level administrative and project coordination support for the Senior Vice President for Policy, Advocacy and Government Relations (PAGR). PAGR is the department within TPL that advocates at the federal, state, and local levels for parks and land for people, ensuring healthy, livable communities for generations to come. This role includes project and calendar management, coordinating travel and expenses, supporting communications and interactions with staff and external stakeholders, meeting scheduling and planning, and general administrative duties. The ideal candidate in this role will bring strong problem-solving and organizational skills to the PAGR team.

Administrative Support (50%)
  • Coordinate and manage the SVP’s calendar and activities
  • Arrange SVP’s travel schedules; prepare reservations and itineraries
  • Serve as the SVP’s point of contact for key stakeholders including TPL staff, external partners, Board members, potential donors
  • Communicate and coordinate with staff on behalf of the SVP
    • Determine what business, requests, circumstances, issues, communications and/or decisions require the personal attention of the SVP and what to refer to appropriate staff
    • Monitor the status of ongoing work, projects, assignments, and other activities of specific concern to the SVP and PAGR leadership
  • Manage administrative tasks including timesheets and travel expense reimbursements
  • Plan and organize PAGR department and national meetings for both on and off-site locations; book facilities, make meeting and catering arrangements, arrange conference calls and/or moderately complex telecommunication links
  • Support the PAGR team as directed

Project Coordination and Management (50%)
  • Participate in team meetings; create and distribute agendas, and meeting summaries as needed
  • Track and coordinate successful completion of action items
  • Assist in creating and maintaining project schedules
  • Evaluate potential problems, risks, and roadblocks and develop solutions
  • Traffic assets to the appropriate people to ensure stakeholders are involved
  • Acts as a liaison between project team members and stakeholders
  • Assist with the preparation of speaking engagements; research, gather materials, and produce PowerPoint presentations



QUALIFICATIONS:
  • Minimum 2 years' experience in administrative and organizational support, with experience supporting upper management and executing project coordination
  • A commitment to protecting public lands, creating equitable access to quality parks and schoolyards, and to the communities they serve. Interest in policy and government relations as tools to create better lives for people.
  • Excellent written and oral communication skills.
  • Demonstrated ability to work well with others, across a diverse array of internal and external stakeholders.
  • Ability to maintain a high level of confidentiality
  • Excellent organizational abilities, attention to detail, promptness and dependability
  • Able to work with a high degree of self-direction and flexibility, especially with respect to taking initiative, prioritizing multiple tasks, and using good judgment to resolve problems
  • Computer proficiency in Microsoft Word, Excel, and PowerPoint is required, plus proficiency in web research tools
  • Project management experience and time-management skills for juggling numerous time-sensitive projects simultaneously. Being familiar with project management software is also an asset

Compensation

As a full-time, non-exempt employee, you will be eligible for The Trust for Public Land’s comprehensive benefits program, which includes medical, dental, and vision insurance, three weeks of vacation in your first year, plus 13 holidays, a paid one-week winter break, and a 403(b) retirement plan, currently with a 7% company matching. We offer competitive salaries commensurate with experience; the range for this position is $57,000 to $62,000 annually.
