Rincon Consultants, Inc. is seeking an Administrative Services Manager to lead our Administrative team! This role is responsible for managing and coordinating administrative services such as vehicle fleet management, travel and events, equipment/supply purchases and rentals, vendor management and negotiations, certificates of insurance, office equipment, mail and messenger services and office clerical and support services. The aim is to provide a centralized, high-touch concierge support service for our very busy internal consultants while ensuring a positive in-office experience for our team members.


Overview of Key Duties and Responsibilities:

  • Leads and provides daily supervision to the Administrative Support staff
  • Ensures each Rincon office is fully stocked and running smoothly (e.g., kitchen supplies, printer/copier toner and cartridges, stationary supplies, mail delivery, etc.)
  • Assists with providing virtual support for the administrative needs of each office
  • Oversees and directs scheduling and support for in-office lunches, happy hours, and other company day-to-day meetings and milestone and/or special events
  • Manages corporate travel, vehicle rentals, and other company equipment (e.g., tablets, cell phones, laptops, etc.) programs and contracts
  • Ensures mail and messenger services are continually operational and manages ongoing contracts with next-day delivery companies
  • Facilitates and tracks the shipping/return of equipment assigned to staff
  • Manages the document retention and document destruction program
  • Manages Administrative Services operating budget to minimize cost overruns, exceptions and unneeded or redundant services
  • Acts as the primary point of contact for issues related to the above
  • Establishes and maintains positive, working relationships with Office Managers to ensure:
    • Ongoing janitorial duties are completed, and maintenance issues are identified and communicated to the Facilities Manager to minimize loss of productivity;
    • Equipment needs are understood and requests for new/replacement equipment effectively vetted; and
    • Ensures that each office has an identified administrative liaison
  • Travels occasionally to offices to assess administrative services needs of the teams
  • Other duties as may be assigned

  • 5+ years of administrative, operations and/or facilities management experience
  • Excellent communication, planning, budgeting and organizational skills
  • Proven vendor management and negotiation skills
  • Strong problem solving, business acumen and customer service skills

  • Highly motivated with strong interpersonal and communication skills and the ability to work independently or as part of a team

The base salary range for this full-time position is $84,000-$104,000, plus benefits and bonus. At Rincon, our salary ranges are based on market median of similar jobs, according to third party salary benchmark surveys. The base pay that is actually offered will take into account internal equity and also may vary depending on the candidate’s job-related knowledge, skills, and experience.
