JOB TITLE: Administrative Support Aide

CLASSIFICATION: Union

GENERAL DISCRIPTION:

The purpose of the position of Administrative Support Aide is to facilitate day to day operations of assisting with property management which include handling resident concerns, processing leasing and recertification packages, greetings and providing professional support to guests that come into Inkster Housing Commission (IHC). This will include support to the main office and asset management properties and housing choice voucher program of IHC. This employee will be the first introduction to IHC as residents and visitors enter our building. The Administrative Support person will assist residents, colleagues, and other visitors in a professional manner.

REPORTS TO: Asset Manager

SUPERVISES: This is a non-supervisory position

ESSENTIAL FUNCTIONS:

An employee in this class may be called upon to perform any and all other tasks listed below. This list of examples does not include all of the tasks, which the employee may be asked to perform.

  • Maintains good resident communication and relations including greeting visitors in a professional manner, receiving inquires on applications, residents, landlords and community organizations with appropriate.
  • Meet with residents and prospective residents to explain applications, rules, rent procedures and assists with processing incoming leasing agreements
  • In coordination with, or in absence of AMP I or AMP II Housing Aide, conducts application processing, new resident orientation, ensure new resident paperwork is properly completed and supports other departments with audits, research and support functions as needed
  • Maintains staff directory ensuring it is updated
  • Coordinates and prepares for events occurring at the main office, including board meetings, preparation of notices for recertification appointments/ eligibility
  • Opens and closes the main lobby daily and ensure area(s) are presentable
  • Collects rent payments, reviews payments and prepares corresponding receipts posts and updates account records; maintains notices for delinquent accounts and associates’ packets for court filings
  • Enter and close work orders when needed as well as managing reports related to vacant units, wait list and other related duties
  • Maintain organized file and storage rooms at various IHC sites
  • Receives mail, documents, packages, and courier deliveries and distributes items to team members
  • Performs administrative and clerical tasks as needed to support the AMPs of IHC
  • Makes copies of needed documents and assists with mass mailings and correspondence to applicants and vendors
  • Answers incoming calls and routes them accordingly to various IHC departments

Required Skills/Abilities:

  • Professionalism with appearance
  • Excellent verbal communication skills
  • Excellent customer service skills and ability to follow up on items
  • Basic understanding of administrative and clerical procedures and systems
  • Proficient with Microsoft Office Suite or related software
  • Prior experience as a receptionist or in a related field
  • Consistent, professional dress, and manner
  • Competency in Microsoft applications including Word, Excel, and Outlook
  • Reliable with good attendance which includes being on time and time management skills
  • Ability to contribute positively as part of a team, helping with various tasks as required

Education and Experience:

  • High school diploma or equivalent required
  • Public Housing experience is a plus

Additional Information and Physical Requirements:

  • Prolonged periods of sitting at a desk
  • Ability to professionally deal with angry visitors
  • Must be able to lift up to 15 pounds at times

Job Type: Full-time

Pay: Up to $17.07 per hour
