Position: Administrative Support Specialist
Location: Portland, Oregon
Start Date: 1/23/2023
1.0 FTE: 40 hours per week
Pay Rate: $22 - $24.50 hourly, plus benefits
Job Summary: The Administrative Support Specialist is a unique position that will support multiple functions within Impact NW’s Quality Assurance, IT and Fiscal teams. This position is ideal for someone who loves wearing many hats and engaging with a variety of people in different roles. This position will act as a communications liaison between administrative teams and program staff with primary responsibilities including: learning QA and Fiscal systems and supporting staff comprehension of administrative processes and systems.
Essential Position Functions
Communications & Admin System Support
- Assist with inter-departmental and all staff communications
- Support staff understanding of admin policies and procedure changes through training, creating training materials, and/or support documentation
- Learn administrative/fiscal software(s) and act as point of contact for staff support
- Agency contract oversight and storage; update and maintain contract database in Airtable and track deliverables
- Support internal document cleanup and organization initiatives
- Support internal compliance and/or quality audits
- Assist with IT billing
- Assist with delivering budget reports to program directors in a timely manner
Job Qualifications
- Experience using budgeting/accounting software, (agency currently uses Adaptive and Financial Edge)
- Experience working with and understanding grant funding contracts and compliance, MOUs, etc.
- Tech-savvy and willing to learn how to use new software
- Strong communication skills and ability to clearly articulate procedure changes in written communications to staff at all levels
- Experience training staff on new procedures, software and producing training materials
- Ability and willingness to work with culturally diverse staff and evaluate all decisions through a culturally responsive, trauma-informed lens.
- Google Suite proficiency (gmail, sheets, docs, & sites)
- Experience using Airtable, Trello, and Excel is highly preferred
- Self-directed and comfortable working with limited structure or direction in a hybrid work environment
JOB CONDITIONS:
- Repetitive motion, prolonged sitting, extensive visual involvement
- Ability to efficiently travel in order to perform duties and other agency related errands
- Willingness to get COVID-19 vaccination or show proof per organizational policy
