Position: HealthCare Administrator

This position will have a transition period with the current Administrator to provide mentorship and training to ensure a new administrator has a clear understanding of Northwest Family Clinics and the role. This period will last 4-6 months before transitioning into the role.

The Administrator role works as a liaison between the board of directors, the administration team, managers, and all support staff. This position is responsible for contracting with HealthPlans to set rates for health services provided by Northwest Family Physicians and ensure that federal and local regulatory reporting and reimbursement requirements are met. The Administrator provides oversight for all operational and human resource activities and represents Northwest Family in all activities outside the organization. In addition, they set measures for quality assurance, patient services, and public relations. The administrator’s goal is to support excellent medical care at a broader level by coordinating all physical and financial aspects of the clinic towards achieving quality care.

Duties and Responsibilities:

  • Show commitment to advancing Northwest Family Clinics’ stated mission, vision & core values and to create a culture of respect & appreciation.
  • Conduct oneself as a true professional by maintaining appropriate conduct, attire & language.
  • Provides clarity about organizational relationships and roles & responsibilities to all employees.
  • Works with physician-owners, Advance Practice Providers & employees to organize working groups of Northwest Family Clinics to optimally achieve the agreed-upon goals of the practice.
  • Brings transparency & accountability to decision-making processes.
  • Lead and oversee Northwest Family Clinics management team so they fulfill the responsibilities of their respective roles, while ensuring timely feedback on job performance to all employees.
  • Empower management team to lead and oversee their direct reports in such a way that NWFC employees report being satisfied (respected & appreciated) in their jobs.
  • Practice and teach conflict-resolution and appropriate boundary-setting methods to foster healthy, constructive, and professional workplace relationships on all levels throughout Northwest Family Clinics.
  • Collaborates with other leaders to identify all developments/advancements affecting patients so that innovations are made on the patient’s behalf.

  • Hospital affiliate administrators
  • Radiology affiliates
  • Outside medical consulting groups’ administrators

  • ACO
  • Health Plans
  • Patients (manage grievances unresolved by site managers)
  • Serve as lead contact for emergency services – police, fire, and security.
  • Serve as HIPPA security officer and update system per their guidelines and expectations.
  • Coordinate hiring of new physicians, advanced practice providers with physician recruiter and HR under shareholder direction.
  • Serve as banking contact and signature access along with Finance Manager and CMO.
  • Contract negotiations individually and with groups (ie MHN).
  • Presents with full transparency the full profit and loss of the businesses, including revenue, expenses, budgeting, and A/P.
  • Review internal policies and procedures and recommend/write updates as indicated.
  • Monitor delivery of patient services to include reviewing physician activity data and forecast and prepare for all changes needed or impacted by patient load, billing/collecting procedures, and government regulations and policies.
  • Monitor various special projects, which may require reviewing and analyzing information, identifying problems, recommending solutions, and writing reports.
  • Oversee clinic participation in studies, surveys, audits, space planning, renovation and special projects as required.
  • Other duties as assigned.

Job Qualifications:

  • Minimum of a bachelor’s degree in health care management or a related field. Masters preferred.
  • Minimum 5 years Leadership required with:
  • Increasing responsibility in healthcare delivery operations with demonstrated results in financial performance and process development.
  • Demonstrated proficiency in the management of complex business operational solutions.
  • Excellent process management skills and strong attention-to-detail including the ability to coordinate multiple complex tasks simultaneously.
  • Should possess a solid grasp of the common software office programs and current EHR system such as Xcel, Microsoft Word and Allscripts.
  • Ability to travel between all sites.

Salary/ Wage Range

Compensation for the role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience and may fall outside of the range shown.
