Job description
This position a, full time, on campus position, Monday through Friday, 37.5 hours per week.
SCOPE OF WORK: As a member of the Admissions Office team, this position assists with coordination of the clerical and data functions of the office, assists the Director in planning and coordinating Admissions processing activities, and produces reports for internal and external use. This position reports to the Director of Admissions at NHTI, Concord’s Community College.
ACCOUNTABILITIES:
- Assist and advise the Director of Admissions in monitoring, evaluating, and controlling the admissions application workflow process to include status monitoring, prioritization of resources, and process improvement;
- Report recommendations and proposed adjustments to workflow procedures for the office to the Director of Admissions;
- Serves as Admissions data coordinator and point of contact for Banner and TargetX/Salesforce data collection, reporting, and customization of data for use in decision making by the Admissions Office and external departments throughout the college;
- Assist with all phases of processing applications as office workflow and personnel needs dictate to accommodate application surges and other peaks in Admissions Office operations;
- Manage the planning and execution of NHTI Open House events, including inter-departmental coordination and financial budgeting/execution;
- Confers with the Director of Admissions, department heads, and other college offices to stay current on various policy changes that may affect the operational direction of the Admissions Office;
- Develop and prepare forms, handbooks, training materials, and fact sheets for the Admissions Office;
- Communicates information and answers questions regarding the NHTI Admission process to prospective students, family members and the general public, via telephone, face-to-face and email;
- Provide coverage of the Admissions front desk to greet and serve walk-in prospective and current students;
- Ensures that a high-level of confidentiality and security of all information related directly and indirectly to student and records is maintained;
- Trains and monitors activities of work study students;
- Retrieves and updates information pertaining to prospective students; performs data entry using Banner and Target X/SalesForce software;
- Assists with daily office functions, including the maintaining of student records, preparation of correspondence, and verifies the accuracy of information posted to student records;
- Assists in the planning and implementation of Admissions events;
- Participates in recruiting functions on a limited basis as needed; e.g, conducts admissions campus tours, student interviews, and local high school visits;
- Serves on system-wide and campus teams such as the TargetX TaskForce, and others as necessary;
- Complies with all college, system, state and federal rules and regulations;
- Other duties as assigned.
MINIMUM QUALIFICATIONS:
Education: Associate degree from a recognized college or technical institute in business management/administration, computer information systems, computer technology or general studies. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience: Three years of experience in business, or education involving office or program administration, with responsibility for providing program information to others, coordinating office operations, and maintaining an electronic database. Each additional year of approved work experience may be substituted for one year of required formal education.
License/Certification: Valid driver’s license and/or access to transportation.
PREFERRED QUALIFICATIONS: Extensive experience in the use of databases and PC-based software including word processors and spreadsheets; experience with computerized integrated student records system and software, specifically Banner, TargetX/SalseForce, and/or Form Assembly; experience compiling and analyzing statistical data, and service/product promotion.
