Job Description
As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University is seeking a position for an Advancement Operations Specialist to promote our Catholic Franciscan mission and identity by overseeing the management of the endowed scholarship process, and the gift entry and reporting processes. The Advancement Operations Specialist is a part of the operations team, and will report to the Director of Advancement Operations and Donor Relations.
Essential Duties and Responsibilities:

- Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
- Manages the endowed scholarship process, including:
- Annual reporting to donors/honorees
- Recognition of donors/honorees through the website, plaques, donor walls, etc.
- Serve as the primary point of contact with the financial aid and finance offices for scholarship information
- Partner with enrollment colleagues as needed
- Track gifts and eligibility to award scholarship
- Manage scholarship information through the financial aid management software
- Accurately processes all gifts received via the following avenues in a timely manner and in accordance with IRS rules and regulations, FASB and GAAP accounting standards:
- Check and cash gifts received through the Business Office.
- Online donations through the various active giving forms, including event ticket and sponsorship purchases.
- M-Club and Women of Marian Society membership purchases.
- Stock donations received through Key Bank, Marian’s banking institution.
- Recurring monthly credit and debit gifts run through Raiser’s Edge.
- Faculty/staff giving via bi-weekly payroll deductions, including sharing reports after each entry with leadership in HR and OIA.
- Monthly license plate gifts via the Indiana Bureau of Motor Vehicles.
- All crowd-funding platform deposits.
- Non-GAAP gifts (gifts-in-kind, non-GAAP grants, planned gifts).
- Supports fiscal responsibility via the following tasks:
- Issues tax letter receipts for all gifts according to IRS regulations.
- Interprets and applies IRS rules and regulations as it relates to gift processing (i.e., Fair Market Value determinations).
- Helps maintain and update the database from returned mail, emails, and other sources in conjunction with the Director of Advancement Operations and Donor Relations and Advancement Services Specialist
- Maintains certification in both Raiser’s Edge 7 and RE-NXT.
- Cross-trains with the Advancement Services Specialist to ensure duties are completed during time off
- Performs other duties as assigned by the Director of Advancement Operations and Donor Relations, the Assistant Vice President of Advancement Services, or the Senior Vice President of the Office for Institutional Advancement.
Required Qualifications
Required Qualifications:
- A college degree (bachelor’s degree preferred) or comparable experience.
- Familiarity with the Microsoft Office suite of products; strong experience with Microsoft Excel.
- Database experience/familiarity (Raiser’s Edge/NXT experience preferred).
- Knowledge of and a commitment to the mission of Marian University.
- Ability to work independently with minimal guidance and direction.
- Excellent organizational skills and attention to detail.
- Commit to collegiality and collaborative decision-making.
- Effectively prioritize and execute tasks in a high-pressure environment.
- The ability to work both independently and in a team environment, often with limited direction.
- Professionalism and high ethical standards for maintaining confidential information.
- Ability to effectively and appropriately interact with members of the university community.
