What We Are Looking For

The Alumni Engagement Project Manager is responsible for providing a high level of administrative and project support for Alumni Engagement programs and initiatives in the Division of University Advancement. The goal of Alumni Engagement programs is to increase participation and cultivate a pipeline of future mid and major level donors. The Alumni Engagement Project Manager, in collaboration with Alumni Engagement and University Advancement leaders, will effectively execute project deliverables related to budget and data management, event administration, and communications and reporting.

This position completes all project deliverables in adherence with established business practices and proficiently utilize a variety of software programs, including EPIC, Vision, Ignite, Total Contract Management, and OnBase. The ideal candidate must have strong organizational skills with the ability to effectively manage multiple programs, events, and initiatives with a strong attention to detail, executing high quality deliverables in accordance with associated timelines.

A Bachelor's degree, two years of relevant experience, and an active Christian faith are required. Four years relevant experience are preferred. Experience will not be considered in lieu of the educational requirement and all candidates must be able to demonstrate eligibility to work in the United States.

What You Will Do

Budget and data management - In collaboration with Alumni Engagement program leaders:

  • Assist in budget planning, actively manage project expenses to budget, resolve issues to keep projects on track and on budget.
  • Ensure timely financial management, including invoice payments, requisitions, contracts, and purchasing card payments and reconciliation.
  • Ensure proper deposits of event income and gifts, applying sales tax and benefits where required.
  • Prepare regular budget and financial reports by initiating, monitoring, collecting, compiling, and copy-editing deliverable content.
  • Provide daily membership management through Vision software system, proactively identifying and resolving issues.

Event Administration

  • Facilitate contract management and payments for venues, speakers / special guests, catering, transportation, accommodations, signage, decor, etc.
  • Manage all aspects of event administration within the EPIC event management system. This includes, but is not limited to, compiling and entering required event information, setting up event registration and payment, applying sales tax where needed, determining gifts and benefits, coordinating solicitation / appeal codes, managing event email communications, daily management of event guest registrations and payments, and fielding inquiries.
  • Coordinate event logistics, including timelines, program elements, run of show, guest registration, name tag preparation and distribution, and volunteer support.
  • Following events, finalize all outstanding event deliverables, including documentation of final attendee list, final payments to suppliers and volunteers, deposit of gifts and funds received, thank you emails / correspondence, and event debriefs with program leaders and lead volunteers.

Communications and Reporting

  • Serve as a key contact with constituents, colleagues, vendors, volunteers, and campus partners.
  • Document meaningful constituent interactions in Vision on a timely basis.
  • Compile membership / volunteer lists and manage updates in Vision software system.
  • Prepare, analyze, and distribute financial reports and membership / volunteer reports on a regular cadence.
