Job Title: Artist in Residence (AIR) Program Manager, Inova Schar Cancer Institute Faciilities

Position Description: Recognizing that health care facilities are often intimidating and frightening places, Smith Center for Healing and the Arts’ Artist in Residence (AIR) program seeks to mitigate the emotional toll of the hospital and clinical setting by engaging participants in creative activities designed to promote mindfulness, gratitude, and stress reduction that lead to inspiration and healing. The AIR Manager is responsible for the day-to-day operations of the Artist-in-Residence (AIR) program at Inova Schar Cancer Institute facilities which provides training and support for local artists who guide patients, caregivers, and healthcare staff in music, tactile art and spoken word activities in a clinical setting. The AIR Manager will oversee recruitment, training, and supervision of the AIR roster of artists; develop and monitor contracts with partner organizations, (e.g. Project Knitwell and The Good Listening Project); manage and maintain budget oversight for operations of the AIR program (including training and supervision of part-time support staff); establish and maintain relationships with Inova staff and management, ensuring that staff is aware of services offered for both patients and staff; coordinate the planning and implementation of recorded activities and communications that document the statistics, value and benefits of the AIR program.

Duties and Responsibilities:

·Oversee recruitment, training, and supervision of AIR artist and support staff

o Identify and recruit new artists for placement roster and guest artists for special performances. Identify education and training needs of the AIR team, and coordinate identification and contracting of guest speakers/faculty in collaboration with Smith Center staff and advisors;

o Coordinate and manage regularly scheduled AIR team meetings (once per month in person or twice per month virtual) for purposes of supervision and learning;

o Recruit, train, and supervise AIR support staff, interns, and volunteers;

o Ensure all AIR artists and staff are compliant with all Inova policies and procedures

· Manage and maintain operations and support

o Develop and monitor regularly scheduled weekly shifts of service at all sites (to include assigning artists to substitute shifts as needed);

o Monitor and supervise artists and musicians, to include check-in and check-out for scheduled shifts or performances, review of weekly reports, and response to questions or issues derived from reports (including contacting clinical staff for response, as appropriate);

o Manage an inventory of arts and related supplies for the AIR program, to include an assessment of materials and resources needed per artists’ requests, order materials and supplies within the parameters of the AIR supplies budget, receive and organize supplies in a dedicated ISCI storage area, and monitor supply levels to replace as necessary), and

o Coordinate with the Gallery Manager for the Joan Hisaoka Healing Arts Gallery on any joint programming or events related to exhibits and the AIR program;

o Serve as liaison between artists and Smith Center/Inova staff on providing information and education about the program as well as determining potential opportunities and new collaborations within the current budget

· Oversee contracts management and financial tracking of the AIR program

o Oversee the management of the contractual agreements with AIR roster artists, support staff; guest speakers/faculty or musical performances; from initial contracting to renewal process;

o Maintain monthly oversight of the AIR budget for each site to ensure expenditures are in keeping with the budget;

o Work with the AIR Administrative Assistant and Smith Center Finance Department to ensure proper receipt of artist timesheets and invoices; ensure that all invoices and timesheets are submitted on-time for proper payment

· Coordinate AIR Program evaluation and documentation

o Communicate with and provide a minimum of quarterly reports summarizing statistics, accomplishments, issues, and/or needs to the Smith Center Executive Director and annual summary reports for Inova management;

o Coordinate the recorded documentation of AIR program activities (e.g. video and photographic recordings of workshops, guest artists, special events);

Assist with the development and implementation of an AIR Program evaluation

Primary Objectives:

· To ensure a high standard of care and sensibility by artists in interactions with patients, families and staff in healthcare settings;

· To ensure the daily operation of the AIR program runs smoothly at all sites;

· To ensure that Inova management and staff understand the value of the AIR program and are happy with the positive impact of the program;

· To ensure accurate collection of all data including performance statistics; impact measurement; stories and quotes from artists, staff and patients; and pictures and videos to fully document and report on the full impact of the program;

· To advance the mission of Smith Center for Healing and the Arts to educate and demonstrate the power of the arts as a tool for healing and well-being

Qualifications:

· Current practical experience as an artist in the visual, literary, or performing arts (e.g. public performances, exhibitions, or presentations) that demonstrate knowledge, skills and experience in the creative process necessary to inspire and guide the creative work of others;

· Solid understanding of visual arts, healing arts, and related disciplines;

· Minimum 3-5 years of paid experience with a professional organization or institution that included budget and financial oversight and reporting; program management and impact data measurement and reporting; and must have staff supervisory responsibilities;

· BA in arts management or arts in healthcare a huge plus;

· Ability to assume full-time on-site job responsibilities for a 40-hour week;

· Ability to travel between Inova facilities to ensure program performance and maintain relationships with facility management and staff;

· Ability to meet background checks and pre-placement medical documentation and screening required by Inova for all on-site staff;

· Personal and professional qualities that include openness, flexibility, resourcefulness, sensitivity to and respect for others, and passion for sharing and engaging others in the creative and healing arts experience;

· Ability to work with administrative and clinical staff in a healthcare institution that requires sensitivity to patient/families managing diagnosis and treatment;

· Minimum of Intermediate proficiency with Microsoft Office (especially Microsoft Excel) and demonstrated organization and management skills;

· Knowledge and experience with healthcare settings and culture and core concepts of art and healing.

Job Details:

· This is a full time, forty-hour per week employment position;

· This position will primarily work at Inova Schar Cancer Institute in Fairfax but will require travel to other Inova locations;

· Annual Salary: $64,000-66,500 based on experience
