Job description
We are looking for a dynamic person who can help run the show behind the scenes for a top-producing Luxury Real Estate agent. The right candidate should be familiar with the real estate market in San Juan, Guaynabo, Dorado, and surrounding areas. Candidates should be highly organized and socially confident. Must also be team-oriented and have a professional disposition.
Responsibilities:
- Database management – including mailings, emails blasts and client events.
- Lead entry and organize database from different sources (Instagram Page, Facebook, Emails, texts, etc)
- Follow up constantly with prospective buyers as to maintain the database up to date.
- Provide weekly update of database status
- Send email blasts of upcoming listings and newsletters
- Track referrals
- Social Media - create posts, stories, engage, post listings to Facebook groups
- Input all new listings and manage any/all items needed on the listing side including scheduling contractors, ordering photos, preparing promotional materials and working with sellers.
- Schedule appointments and showings
- Handle all files from contract to close, including scheduling and overseeing inspections, contractors, appraisals, etc.
- Follow up with Mortgage bankers and attorneys.
- Perform and prepare property research at the direction of the agent
- Must have a flexible schedule and be able to work effectively with minimal supervision.
- Reaching out to past clients for reviews, setting up home anniversaries, referrals -on going nurturing
Knowledge/Skills:
- Excellent verbal and written communication skills; Must have phone and email etiquette working for a luxury brand and provide exceptional customer service
- Have an eye for detail and possess strong organizational skills.
- The ideal candidate will have experience with property, website and blog copywriting; editing and proofreading skills; graphic design skills; MLS, database management; marketing design; social media strategy and content creation
- Highly resourceful team player with the ability to be effective while working independently
- Comfortable with ambiguity & ever-changing priorities
- Results oriented and have a great sense of humor
- Comfortable spending several hours a day calling and texting clients
Executive Assistant Requirements
- Executive Assistant, administrative or office experience
- Strong tech savvy - experience in social media, email, data management, data entry, Microsoft and Google Applications.
- Smartphone, computer, driver’s license, auto insurance and vehicle for work errands
- Digital marketing, and content creation
- Real Estate License preferred (not required)
