ASSISTANT LOBBY SERVICES SUPERVISOR
Starting Salary: $64,480 annually

POSITION OVERVIEW*

The Assistant Supervisor is the first responder and scheduler during the business week, responsible for data entry and documentation, and assists in the oversight and operations of the desk clerk team. This is an excellent opportunity for a customer service oriented, organized, computer savvy individual with a flexible schedule to learn and grow with an growing organization that is committed to helping change the lives of its employees.

ESSENTIAL FUNCTIONS*

Scheduling_

  • First responder for primary business telephone Monday-Friday from 9 AM - 5 PM.
  • Accept and enter new shifts onto the calendar.
  • Contact staff to fill shifts while balancing hours available amongst team and minimizing overtime.
  • Communicate with customers verbally and by email to confirm coverage.
  • Schedule trainings for staff at buildings as needed with direction from Manager.
  • Maintain high customer service standard with customers and team.

Operations

  • Manage staff timesheets on a bimonthly basis ensuring accuracy of hours paid.
  • Assist in the onboarding process of new employees from application through hire.
  • Assist in ordering and distribution of staff uniforms.
  • Help maintain organizational and employee documents and records on timely basis.
  • Assist in completion of new hire and termination paperwork.
  • Provide operational support to business team as needed.

Supervision of Staff

  • Deliver coaching, counseling, mentoring, and training to SSF employees in the office and in the field.
  • Identify and proactively coach desk clerk team on work behaviors.
  • Provide summaries of staff performance on a daily and weekly basis.
  • Deliver employee performance notifications as necessary with cooperation of Manager.
  • Model professional behaviors at all times.

Customer Service

  • Maintain excellent relationships with all customers, vendors, staff, and community.
  • Respond to customer concerns and complaints professionally and effectively.
  • Partner and collaborate with other HomeRise departments to achieve SSF goals.
  • Work collaboratively with Manager to grow the business.
  • Partner with Employment Counselor to provide feedback to help staff develop.
  • Other duties as needed.

QUALIFICATIONS

*
Must have a flexible work schedule and be willing to respond to on call phone at assigned times.

  • Strong computer skills including word processing, spreadsheets, email and calendaring. Must be comfortable with all Microsoft programs including Word, Excel, and Outlook.
  • Prior experience in hospitality, concierge or security business preferred.
  • Prior supervisory experience strongly preferred.
  • Strong customer service orientation.
  • High level of organization and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to work sensitively and effectively with diverse populations.
  • Commitment to working with homeless people and support for HomeRises mission and culture required.
